You’ll play a crucial role in driving efficiency, facilitating seamless communication, and ensuring the smooth execution of critical initiatives. This isn’t just about managing a calendar; it’s about being a strategic partner and trusted advisor, contributing directly to the success of a dynamic and influential team.
As an Executive Assistant, you will:
- Proactively manage complex calendars, strategically prioritizing meetings and appointments across multiple time zones.
- Coordinate intricate domestic and international travel arrangements, preparing detailed itineraries and handling all logistics.
- Plan and execute team meetings and events, from small gatherings to large-scale functions, overseeing every detail from venue selection to budget management.
- Process expense reports and invoices with accuracy and efficiency.
- Act as a central point of contact and trusted resource for team members, handling confidential information with discretion and professionalism.
- Lead and mentor other administrative staff, fostering a collaborative and supportive team environment.
- Partner with cross-functional teams to streamline processes and ensure seamless communication.
Must-Have Qualifications:
- Minimum of 3 years of experience providing executive-level administrative support.
- Exceptional written and verbal communication skills, with the ability to interact effectively with senior executives and diverse stakeholders.
- Proven ability to thrive in a fast-paced, high-pressure environment, juggling multiple priorities with grace and efficiency.
- Outstanding organizational skills and meticulous attention to detail.
- Strong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel).
- Demonstrated ability to handle confidential and sensitive information with discretion.
Nice-to-Have Qualifications:
- Experience working in a global or matrixed organization.
- Project management experience.
- Experience with presentation software such as Keynote.
