About the Role:

We are seeking a highly organized and proactive individual to provide essential operational and strategic support to a leadership team within a rapidly evolving business unit. This role is crucial for maintaining the rhythm of business, managing financial processes, and fostering a strong team culture. You will be at the heart of daily operations, ensuring everything runs smoothly and anticipating the needs of a diverse and fast-paced environment.

Key Responsibilities:

  • Partner with the team lead to manage and optimize the team’s rhythm of business (ROB), including strategic planning activities, key business events, and business reviews.
  • Plan and execute team meetings, such as weekly leadership team meetings and quarterly town halls, and coordinate awards submissions.
  • Ensure continuous business operations, identifying and implementing solutions to operational challenges, especially during periods of change.
  • Support the development of engaging content for internal communications.
  • Manage and oversee the team’s budget process, including monthly transactions, quarterly forecasts, and comprehensive reporting to the leadership team.
  • Track operational expenditures (OpEx) and travel & entertainment (T&E) budgets, providing regular updates and insights.
  • Support leadership with critical reporting, communications, and regional projects.
  • Assist with travel arrangements and calendar management for the leadership team.

Must-Have Qualifications:

  • Bachelor’s degree in business management, economics, finance, or accounting.
  • 5-7 years of relevant experience in business management, operations, and reporting.
  • Minimum of 5 years of experience in Rhythm of Business (ROB) or comprehensive operational support.
  • Minimum of 5 years of experience in financial reporting and budget management, specifically with operational expenditures (OpEx) and travel & entertainment (T&E).
  • Minimum of 5 years of experience with advanced data analysis, visualization, and presentation tools (e.g., advanced spreadsheets, presentation software).
  • Demonstrated knowledge of business and management principles, including strategic planning, resource allocation, and production methods.
  • Proven financial experience with the ability to apply accounting and mathematical principles to manage discretionary budgets and operating processes.
  • Exceptional verbal and written communication skills, with keen attention to detail.
  • Strong customer service and interpersonal skills, fostering positive relationships.
  • Ability to work independently, manage multiple priorities, and effectively manage one’s time.
  • Proficiency with standard office computer applications, including word processing and spreadsheet software.

Nice-to-Have Qualifications:

  • Experience working with AI agents or similar advanced technologies.
  • Prior experience with enterprise applications.
  • A proactive and detail-oriented approach to problem-solving and task management.
  • Strong analytical skills, enabling data-driven decision-making.
