We are seeking vendor Program Manager to support Employee Experiences within the AI division (8K+). This role is central to executing highly visible, high-impact internal programs, including intern engagement, new hire onboarding, and a new specialized AI Academy. The ideal candidate blends strong content and design skills with exceptional executive-level communication and a sharp focus on data and program effectiveness. They must demonstrate the ability to thrive in a dynamic, rapidly changing, and ambiguous start up-like environment.
Key Responsibilities
1. Program Execution & Support:
• Provide end-to-end operational support and logistics coordination for core people programs, including the AI Intern Program, New Hire Onboarding, and the internal AI Academy training initiatives.
• Manage calendar invitations, logistics, and communications for program events and learning sessions.
• Recruit employees, assign, direct, and evaluate their work, and oversee the development and maintenance of squad competence.
2. Digital Content Management & Design (SharePoint Focus):
• Lead the design, maintenance, and content refresh of program SharePoint sites, ensuring a professional, engaging, and user-friendly experience for all employees and participants.
• Manage digital assets, documentation, and program archives.
3. Data Analysis & Metrics:
• Utilize data analysis tools (Excel, Power BI) to track program metrics (e.g., participation, engagement scores, survey results).
• Identify trends and surface insights to measure program success and inform future strategy.
4. Event Logistics & Support:
• Organize and facilitate large events and meetings (often simultaneously) with a strong focus on goals and outcomes, including but not limited to: intern events, RTO, New Hire engagements/orientation, Aspire Expo, Give events, Hackathons, Meetups.
• Review and recommend or approve contracts and cost estimates.
5. Executive Reporting & Communication:
• Craft, refine, and deliver high-quality, concise executive-level status reports, summaries, and dashboards for leadership consumption.
• Synthesize complex program data and progress into clear, impactful visual presentations and written communications.
• Craft and deliver engaging internal marketing collateral daily for newsletters, Team channels and emails.
Required Qualifications
• Skilled in first principles problem solving: Able to quickly figure out how things work, break down complex issues to their core, and build effective, pragmatic solutions
• Strong analytical and business acumen: Strong analytical skills with demonstrated expertise in data manipulation, visualization, and reporting using Power BI and advanced Excel functionalities to inform decisions while balancing speed, judgment, and impact.
• Experience building /managing programs at scale: Demonstrated ability to lead end-to-end execution of high-impact initiatives with a focus on operational excellence, stakeholder alignment, and measurable outcomes. Proficient in building scalable processes, managing complex logistics, and driving continuous improvement.
• SharePoint Expertise: Proven experience in designing, building, and managing sophisticated SharePoint sites for large enterprise environments (content architecture, site design, and user experience).
• Power BI Expertise: Demonstrated proficiency in Power BI. Ability to translate complex data into intuitive visualizations that inform program strategy, measure engagement impact, and support continuous improvement. Experience integrating data sources to track onboarding effectiveness, sentiment trends, retention metrics, and employee enablement outcomes.
• Executive Presence & Communication: Skilled in executive-level communication, translating complex information into clear, persuasive narratives and presentations that influence stakeholders across all levels and functions. Draft and deliver programmatic updates or announcements for Teams and Slack
Preferred Qualifications
• Learning & Development (L&D): Background or experience supporting L&D programs, curriculum development, or internal training initiatives (such as a corporate university or academy model).
• Cross-functional Leadership: Experience driving cross-functional initiatives to impactful outcomes with clarity & adaptability in ambiguous or fast-evolving contexts.
• AI-first thinking: Proactively seek ways to improve workflows with AI or redesign workflows to be AI-native, and leverage AI tools to improve execution. AI agent building experience a plus.
Education/Experience
• Prosci, PMI/PMP Certified a plus.
• Bachelor’s degree in a related field.
• 2-4 years’ experience working in a start-up or executive office environment.
