Join a high-impact team coordinating a large-scale summit for a global industry leader! As an Administrative Assistant, you’ll be a key player in ensuring the seamless execution of this high-profile event. This is your chance to make a real difference, working behind the scenes to create a memorable experience for attendees.
This dynamic role offers a unique opportunity to contribute to a significant project, collaborating closely with event leadership and gaining invaluable experience in event operations. You’ll be at the heart of the action, managing logistics, coordinating resources, and ensuring everything runs smoothly from pre-event planning to post-event wrap-up.
Responsibilities:

  • Manage logistical coordination for the summit, including room assignments, material preparation, and vendor communication.
  • Provide comprehensive administrative support to the project manager and event team, handling scheduling, correspondence, and other essential tasks.
  • Execute on-site event support, addressing real-time needs, directing attendees, and troubleshooting any emerging issues.
  • Collaborate with various teams to ensure seamless event flow and attendee satisfaction.
  • Participate in post-event debriefs and contribute to process improvement for future events.

Must-Have Qualifications:

  • 8-10 years of experience in administrative or executive assistant roles.
  • Proven experience supporting large-scale events or complex logistical projects.
  • Exceptional organizational and time management skills with the ability to prioritize and manage multiple tasks simultaneously.
  • Excellent communication and interpersonal skills, including the ability to interact effectively with diverse stakeholders.
  • Proactive problem-solving abilities and the capacity to thrive in a fast-paced, high-pressure environment.

Nice-to-Have Qualifications:

  • Direct experience with on-site event execution.
  • Experience working with executive leadership​
