Executive Administrative Assistant

You will be an integral part of the team, providing essential support to ensure smooth operations and efficient execution of marketing strategies. Your organizational skills, attention to detail, and proactive approach will be invaluable in this dynamic setting.
As an Executive Assistant, you will:

• Manage purchase orders for the Marketing organization.
• Manage complex calendars, draft agendas and meeting minutes, proofread documents, and prepare monthly expense reports.
• Arrange detailed travel itineraries, including visa applications (when required), car services, and family travel arrangements.
• Coordinate meetings, including managing attendees, booking locations, arranging meals, and coordinating audiovisual materials; proficiency with Microsoft Teams is essential.
• Handle office management tasks, such as restocking supplies and managing the product closet.
• Undertake special project work as assigned.

Must-Have Qualifications:

• Bachelor’s degree
• 3-5 years of experience as an Executive Assistant
• High degree of professionalism, strong organizational and interpersonal skills, and the ability to interact effectively with senior management.
• Excellent PC skills (MS Word, Excel, Outlook, PowerPoint)
• Strong verbal and written communication skills and the ability to manage multiple tasks and prioritize effectively.
• Ability to maintain confidentiality and handle sensitive information.

Nice-to-Have Qualifications:

• Fluency in French or other foreign language

The target hiring compensation range for this role is $41.24 to $45.83 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
