As the go-to person for administrative support, you’ll be immersed in a fast-paced environment where your meticulous attention to detail and proactive approach will shine. From managing complex calendars and travel arrangements to handling expenses and coordinating team events, you’ll be the driving force behind seamless operations. This role offers a unique opportunity to collaborate with a global team and make a tangible impact on the team’s efficiency and success.
Responsibilities:

  • Manage and maintain intricate calendars for a VP, ensuring accurate scheduling and efficient time management.
  • Prepare and submit expense reports accurately and promptly.
  • Coordinate domestic and international travel arrangements, including on-the-ground logistics.
  • Collaborate with the Business Management team to align business rhythms and operations with leadership schedules.
  • Plan and execute events and offsites, handling logistics such as venue selection, meeting details, and material preparation.
  • Prioritize and manage multiple tasks simultaneously within a global, cross-organizational team.
  • Make informed decisions that optimize the VP’s time and contribute to overall team effectiveness.
  • Handle additional administrative tasks as needed.

Experience:

  • Minimum of 1 year of experience providing executive-level administrative support in a fast-paced environment.
  • Impeccable organizational, analytical, anticipatory, and written communication skills.
  • Proven ability to make independent decisions, juggle multiple projects, and navigate ambiguity.
  • Strong project management and problem-solving skills.
  • High level of integrity and a consistently positive, can-do attitude.
  • Ability to maintain confidentiality of sensitive information with tact and professionalism.
  • Demonstrated ability to work effectively under pressure, meet tight deadlines, and adapt to changing situations.
  • Excellent collaboration skills and the ability to build effective working relationships with diverse individuals and groups.
  • Proficiency in Outlook, Microsoft Teams, Word, Excel, PowerPoint, and OneNote.

Ideal Candidate

  • BS/BA degree.

The target hiring compensation range for this role is $25.86 to $28.74 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
