Position Overview:

We are seeking a highly organized and detail-oriented Sample Coordinator to support the merchandising and product development teams in managing seasonal samples for a fast-paced fashion brand. This role is critical to ensuring the timely receipt, organization, and tracking of samples used for eCommerce, marketing, and cross-functional initiatives. The ideal candidate is passionate about fashion, thrives in a deadline-driven environment, and enjoys working with multiple stakeholders.

Key Responsibilities:

  • Sample Management

    • Ensure all seasonal samples are received on time and in alignment with flow calendars.

    • Organize samples by category, season, and delivery, maintaining a neat and accessible sample closet or room.

    • Track and log sample arrivals, manage check-ins/outs, and flag any delays or discrepancies promptly.

  • Cross-Functional Coordination

    • Communicate with Merchandising teams to update on sample statuses and delivery timelines.

    • Develop and maintain strong working relationships with Brand Merchandise Assistants (MAs) and vendors.

    • Partner with eCommerce, marketing, and creative teams to ensure samples are available for photoshoots, product copy, and promotional efforts.

  • Copy Fact Sheet Assembly

    • Assemble and format detailed copy fact sheets using information from multiple systems (e.g., PLM, PIM, DAM).

    • Ensure all product data is accurate and complete to support content creation and online merchandising.

  • Team Support & Special Projects

    • Support merchandising and product teams with additional projects such as line reviews, showroom setups, and seasonal sample transitions.

    • Help with sample returns, re-ticketing, and ad hoc operational needs.

Qualifications:

  • 1–2 years of experience in a fashion merchandising, product development, or sample coordination role

  • Strong organizational and time management skills; able to juggle multiple seasonal timelines

  • Familiarity with fashion calendar flows and sample lifecycle

  • Proficiency in Microsoft Excel; experience with PLM or PIM systems a strong plus

  • Strong interpersonal and communication skills; able to build relationships across departments

  • Passion for fashion and a collaborative, can-do attitude

The target hiring compensation range for this role is $21.95 to $24.39 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
