To be considered for this role, you must:

  • Be authorized to work in the United States
  • Not require sponsorship of any kind for the duration of the assignment
  • Be able to work on a W-2 basis.  C2C or 1099 is not permitted for this position
  • Be able to work at 2 different locations:  Palo Alto, CA and Redwood City, CA

About the Role

In this pivotal role, you will be at the forefront of patient interaction, managing critical administrative tasks that ensure the smooth operation of outpatient clinical services. You will be instrumental in coordinating new patient journeys, scheduling essential procedures, and providing comprehensive front office support. Your proactive approach and attention to detail will directly impact patient satisfaction and the overall effectiveness of our clinical team.

Key Responsibilities

  • Serve as a primary point of contact for patients, handling check-in and check-out processes with efficiency and a welcoming demeanor.
  • Greet and assist patients with initial questions regarding appointments, payments, and schedules, ensuring a positive experience from arrival to departure.
  • Manage multi-line phone systems, screening and routing calls, and accurately taking messages for clinical staff and physicians.
  • Ensure all necessary patient verifications and authorizations are complete before appointments.
  • Liaise with healthcare providers to align on scheduling preferences and respond effectively to urgent patient needs.
  • Provide essential patient support by utilizing reference documents and tools to address inquiries and guide patients.
  • Perform various administrative duties, including maintaining information and paging databases, and processing internal forms.
  • Proficiently utilize telephone systems and electronic medical records systems to perform assigned tasks.
  • Consistently meet and exceed organizational and department service standards.
  • Respond to non-clinical patient messages and inquiries, escalating as appropriate to ensure timely resolution.
  • Manage and distribute faxes, mail, and organize clinic-specific documentation.

Required Qualifications

  • High School Diploma or GED.
  • Demonstrated knowledge of medical terminology.
  • Proficiency with computer systems and software relevant to administrative functions.
  • Excellent verbal and written communication skills, appropriate for a professional healthcare environment.
  • Strong customer service orientation, with proven problem-solving abilities and the capacity to manage multiple priorities effectively.
  • Familiarity with Windows-based office software, computers, and operating systems.
  • Ability to adapt communication style to suit the needs and understanding level of diverse individuals.
  • Capacity to maintain composure and effectiveness in stressful situations.
