**The Impact You’ll Make**
In this role, you will be at the heart of daily operations, ensuring that our teams and leaders have the support they need to thrive. You will play a crucial part in activating and supporting the commercial engine by enabling leaders to generate revenue through strategic planning, training, and operational rhythms. You’ll contribute to key projects by managing complex logistics, supporting strategic initiatives, and fostering a positive and productive work environment. This position offers significant exposure to multiple leadership teams and the chance to contribute to strategic operations, growing under the mentorship of experienced leaders committed to developing talent.
**Key Responsibilities**
* Provide comprehensive administrative support, including complex calendar management for a senior leader (approximately 35-45% of the role) and ad hoc support for the broader team.
* Coordinate meeting logistics (approximately 25% of the role), including room bookings, virtual troubleshooting, and catering arrangements for various team events and community spaces.
* Facilitate a smooth onboarding experience for new employees and assist with offboarding tasks, ensuring a welcoming and efficient transition.
* Proactively manage office supplies, snacks, hardware, and other inventory, ensuring resources are readily available.
* Assist with team workspace planning and move logistics, contributing to an optimized work environment.
* Process expense reports and coordinate equipment, maintaining accurate records and efficient workflows.
* Shadow travel planning processes and tools, gaining exposure to financial support operations.
* Collaborate with internal stakeholders and fellow administrative professionals to support daily operations and team initiatives, building and maintaining effective working relationships across various levels.
* Support team experience activities and contribute to creating an inclusive culture and work environment for the team.
**Required Qualifications**
* Associate’s Degree in a relevant field (e.g., Business Administration, Human Resources, Marketing, Communications, Psychology, Sociology) OR equivalent practical experience.
* 1+ year(s) of administrative, business support, or customer service experience.
* Minimum 0-2 years experience with complex calendar management.
* Minimum 0-2 years experience with end-to-end project coordination.
* Minimum 0-2 years experience with standard office productivity suites (e.g., email, scheduling, presentation, and spreadsheet software).
* Strong organizational skills with the ability to prioritize work effectively, manage multiple tasks, and adapt to evolving priorities in a fast-paced environment.
* Exceptional verbal and written communication skills, with a keen ability to follow through on tasks and communications.
* Demonstrated ability to make decisions with limited information and troubleshoot logistics effectively.
* Proven cross-group collaboration skills, with a commitment to fostering strong working relationships.
* Coachability, agility, and openness to feedback, with a desire to grow and learn continuously.
