About the Role

We are seeking a highly organized and customer-focused individual to manage the day-to-day operations of our client’s dynamic showroom environment. This role is crucial for maintaining an immaculate and inviting space, ensuring seamless operations for all market appointments, account meetings, and internal activities. You will be the welcoming face of the showroom, providing essential support to the sales team and ensuring every guest experiences the brand’s commitment to excellence.

Key Responsibilities

Showroom Operations & Presentation:
* Ensure all showroom spaces are impeccably neat, organized, and free of clutter, including back stock areas.
* Maintain daily stocking of refreshments (seltzer, water, soda, milk, creamer, coffee, snacks) to ensure a welcoming atmosphere.
* Oversee the organization and labeling of hangers by size within the back stockroom.
* Prepare the showroom for all guests, including dressing mannequins and updating graphics or imagery as needed.
* Manage the storage of extra mannequins and other display elements efficiently.
* Collaborate with the office manager for ordering office supplies and maintaining an organized supply closet.
* Support PR needs, including managing items left behind after events.
* Manage key cards and keys, ensuring appropriate access for all showroom users.

Sample Management:
* Coordinate the shipping and receiving of product samples.
* Maintain an accurate log of all sample locations.
* Facilitate the distribution and storage of incoming samples for sales representatives.
* Assist with the overall maintenance and upkeep of product samples.

Guest Experience & Reception:
* Manage all incoming and outgoing deliveries for the showroom.
* Maintain and manage the showroom calendar, scheduling appointments and activities.
* Be present at the showroom for all market appointments and account meetings, arriving 30 minutes prior to scheduled times to ensure readiness.
* Warmly greet and guide guests to their designated meeting spaces.
* Provide hospitality by assisting with food and drink service for accounts as needed.
* Coordinate and order catering for sales representatives and accounts during meetings.

Administrative & Sales Support:
* Work closely with the office manager to address any maintenance needs within the showroom.
* Provide essential administrative support for various sales projects and initiatives.

Qualifications

* Proven experience in a showroom, retail management, hospitality, or administrative support role with a strong focus on organization and customer service.
* Exceptional organizational skills with a keen eye for detail, ensuring spaces are always presentation-ready.
* Proactive and self-motivated, with the ability to anticipate needs and manage multiple tasks efficiently.
* Strong communication and interpersonal skills, capable of interacting professionally with sales teams, clients, and internal partners.
* A friendly, welcoming demeanor with a commitment to providing an outstanding guest experience.
* Proficiency in managing calendars and coordinating logistics.
* Ability to lift and move display items and boxes as needed.
