In this role, you will be the operational backbone of a central talent development initiative, ensuring its smooth execution and operational excellence. You will play a crucial part in connecting promising student researchers with world-class opportunities, working closely with program managers, staffing teams, and various internal stakeholders. Your efforts will directly facilitate a positive and impactful experience for students and their host teams, driving forward critical research breakthroughs.
**What You’ll Do:**
* **Program Coordination & Stakeholder Partnership:** Serve as the central point of contact for daily operational inquiries, fostering strong partnerships with internal cross-functional teams and coordinating with staffing partners to streamline hiring and onboarding processes.
* **Operational Excellence & Process Management:** Administer internal program management platforms, oversee workflows for participant agreements, and support the approval and tracking of projects and candidates. You’ll also identify opportunities for process improvements and drive their implementation.
* **Strategic Communications & Support:** Execute the program’s communication strategy by updating internal knowledge bases, notifying stakeholders of key deadlines, and preparing program-wide announcements and recruitment materials.
* **Continuous Improvement & Feedback:** Collect feedback post-program implementation, ensure documentation is current, and facilitate discussions with cross-project stakeholders to drive continuous improvement.
* **Relationship Management:** Build rapport and credibility with stakeholders, manage expectations, and provide input to help teams achieve their project goals.
* **Risk Management:** Participate in identifying, assessing, and monitoring program risks, tracking their evolution and potential impact on objectives.
* **Goal Setting & Roadmapping:** Contribute to the development and refinement of program objectives and key results (OKRs), and support the creation of project roadmaps to manage expectations and coordinate resources.
* **Data-Driven Insights:** Identify, collect, and track key program metrics, leveraging data analysis to draw interpretable insights and provide strategic recommendations to stakeholders at various levels.
**Must-Have Qualifications:**
* Bachelor’s degree or equivalent practical experience.
* 2+ years of experience in a program coordination, project management, or administrative support role.
* Proficiency in spreadsheet software (e.g., Google Sheets or Microsoft Excel).
* Exceptional organizational skills and a proven ability to manage multiple tasks and deadlines simultaneously.
* Clear, concise, and effective written and verbal communication skills.

Client Description
As a Program Coordinator, you are focused on executing project management tasks and/or subtasks which you complete with some support. Your tasks primarily involve tracking progress on action items and informing the appropriate stakeholders within the project. You solve problems that are mostly familiar to your team, using existing resources and processes. You are developing your domain and technical knowledge including but not limited to our product areas, key trends, project management best practices, program management fundamentals, and budgeting essentials.
The company’s Student Researcher Program (SRP) is a cornerstone of our talent and research strategy, designed to accelerate research breakthroughs by engaging emerging talent from around the world. This role is a critical part of the central SRP team, responsible for the daily execution and operational excellence of the program. You will work in close partnership with the SRP Program Manager, Company Staffing teams, and stakeholders across all Units to ensure a smooth and impactful experience for students and their hosts.
Overall Responsibilities: As the Program Coordinator, you will drive the day-to-day execution of the Student Researcher Program. Your responsibilities will include managing student contract approvals, overseeing program-wide budget tracking, administering the Salesforce platform for project and candidate management, and acting as a primary liaison for our intern staffing partners. You will play a key role in coordinating with Unit Delegates to ensure seamless program delivery across the broader team.
Responsibilities include:
– Partner with and support cross-functional teams and stakeholders with some guidance.
– After program implementation, collect feedback, ensure documentation is up to date, and facilitate discussions to follow up with cross-project stakeholders; propose and/or implement changes for continuous improvement.
– Collaborate with team members and/or key stakeholders to understand or identify work problems and program goals, obtain prioritized deliverables, and discuss cross-project program impacts.
– Manage expectations and maintain relationships with cross-project stakeholders to build rapport and credibility, plan, create, deliver content, and provide input to help stakeholders achieve project goals.
– Deliver effective, strategic communications directed toward a variety of stakeholder groups/audiences in order to share and solicit information depending on the need, with some guidance.
– Establish and/or promote program vision and objectives; ensure program objectives are met or exceeded; present program vision and gain buy-in from executive sponsors and stakeholders with some guidance.
– Establish and track process in collaboration with stakeholders, hold stakeholders/own teams accountable for following the established processes: identify sponsors and stakeholders and secures resources, ensure work alignment with compliance/privacy policies, identify opportunities for and implement process improvements (e.g., automating the process), and support or promote the adoption of processes with some guidance.
– Complete pieces of risk identification and risk assessment activities with some guidance as well as monitoring risk and recording its evolution and influence on project/program objectives.
– Co-develop or refine Objectives and Key Results (OKRs) across a single program. Contribute to progress on OKRs with the organizational team.
– Develop written documentation that defines solution scope, solution design, task-level deliverables, milestones, and management processes to ensure stakeholder accountability with some guidance.
– Support the development of program goals and prioritization as the leader/stakeholder with some guidance, translate other stakeholders’ needs into program goals and prioritized deliverables, define program roadmap and work streams, and drive decisions on prioritizing goals and deliverables.
– Support the development of strategic programs; act as an authority in the domain across-projects to facilitate the leadership team on making decisions to move product/program excellence forward.
– Establish key program metrics based on technical or program needs; manage cross-functional teams and drive action to ensure program success; develop, delegate, and drive corrective actions to address organizational challenges with some guidance Identify, collect and track key metrics for program or project impact, including program/project participation and success with some guidance, leveraging metrics to drive results.
– Draw interpretable insights from deep dives and data analysis, provide data-driven strategic recommendations that represent projects/programs from relevant business, product, and technical perspectives to stakeholders at a variety of levels with some guidance.
– Develop pieces of project roadmaps with some guidance, and use them to manage stakeholder expectations, as well as for communicating plans and coordinating resources.
Top 3 Daily Responsibilities:
1. Program Coordination and Stakeholder Partnership: Act as the central point of contact for daily operational inquiries, manage partnerships with Unit Delegates, and coordinate with the Intern Staffing team to facilitate hiring and onboarding processes.

Mandatory Qualifications:
Bachelor’s degree or equivalent practical experience.
2+ years of experience in a program coordination, project management, or administrative support role.
Proficiency using Google Sheets or Microsoft Excel.
Excellent organizational skills and a strong ability to manage multiple tasks and deadlines simultaneously.
Clear and effective written and verbal communication skills.
Experience working collaboratively with multiple stakeholders in a fast-paced environment.
Previous leadership experience.
