PRINCIPAL OBJECTIVE:
Reporting to the Executive Director, the Copy Archivist and Proofreader will leverage existing and
emerging AI platforms to construct, implement and manage an accessible library of written materials,
including a database of vital reference documents—ensuring our messaging stays consistent, up to date
and easy to reuse across teams and channels. In addition, this role will seamlessly combine traditional
proofreading with modern AI-assisted tools to maintain quality written content across platforms.
ACCOUNTABILITIES:
AI Copy Archive Management: Build and maintain a centralized, well-organized and user-
friendly library of working creative copy, historical campaign documents, approved legal
language, current marketing messaging and general copy reference materials—tagged,
version-controlled, and easy for teams to search and reuse.
AI Efficiency Development: Support the creation, maintenance and implementation of AI
tools for the copy team, from establishing specialized ChatGPT agents and crafting
standardized prompts to generating brand-aligned drafts and regionally relevant asset
variants.
Cross-Team Collaboration: Partner with copywriters, marketing leads, legal reviewers and
project managers to track revisions, approvals and updates to key copy assets.
Proofreading and AI-Supported Copy Review: Use tools like ChatGPT, Grammarly and others
to assist in reviewing brand copy for grammar, clarity and consistency, making the process
more efficient while maintaining human oversight.
QUALIFICATIONS:
Bachelor’s degree in Library/Information Science or similar strongly preferred, or in English,
Communications or a related field.
2–4 years of experience in editorial operations or workflow management, ideally in beauty,
fashion or luxury lifestyle.
Experience with training AI tools and/or building digital libraries or copy archives.
Strong understanding of grammar, punctuation and proofreading required.
Comfortable using CMS platforms, asset management systems and collaborative tools like
Airtable.
Knowledge of accessibility and inclusive language standards.

Hourly rate is $35-$36.65 per hour
