As an Executive Administrative Assistant, you’ll be a driving force within a dynamic executive office, ensuring seamless operations and contributing directly to the success of high-level leadership. As a key member of the executive support team, you will:

  • Provide comprehensive administrative support to the Chief of Staff and the broader Executive Office team, acting as a reliable backup and adapting to changing needs.
  • Expertly manage calendars across multiple time zones, prioritize urgent requests, and balance short-term tasks with long-term strategic planning.
  • Oversee executive office logistics, including procurement of supplies, hardware, and facilities-related requests, ensuring smooth daily operations.
  • Support special assignments and ad-hoc projects, often working independently and under tight deadlines, showcasing your problem-solving abilities.
  • Provide exceptional onsite support during core business hours, maintaining a high level of responsiveness and professionalism in a fast-paced setting.
  • Proactively identify and implement process improvements to enhance team efficiency, streamline workflows, and optimize resource utilization.
  • Cultivate strong relationships with key stakeholders across various teams, demonstrating excellent communication, collaboration, and discretion.
  • Maintain the highest standards of confidentiality and integrity, particularly when handling sensitive information or executive-level communications.

Must-Have Qualifications:

  • 5+ years of experience providing executive support, including calendar management, travel arrangements, and team coordination.
  • 2+ years of experience supporting C-level executives (CVP, CFO, COO).
  • 3+ years of experience working in the enterprise technology industry.
  • Proven ability to thrive in a fast-paced, dynamic environment with shifting priorities.
  • Exceptional organizational, communication, and interpersonal skills.
  • Strong proficiency in Microsoft Office Suite, particularly Excel (including pivot tables).
  • Ability to maintain confidentiality and discretion in handling sensitive information.

Nice-to-Have Qualifications:

  • Experience working in a confidential environment (e.g., legal, HR).
  • Demonstrated ability to suggest and implement process improvements.

The target hiring compensation range for this role is $39.56 to $43.96 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
