Our start up client is looking to bring on a temp Office Manager who will work onsite in their Somerville office 5 days per week:

 

Start = ASAP

Duration = temp, 6 months with a possible extension

Location: Somerville, MA

Onsite 5 days per week

Hours: starts at 30 hours per week and could scale up to 40

 

The Role:

As the Office Manager, you will be responsible for overseeing daily office operations, managing administrative functions, and fostering a positive and productive work environment. You will play a key role in coordinating office logistics, supporting HR and finance functions, and enhancing overall efficiency.

 

What You’ll Do

Office Operations & Administration

● Maintain and organize office facilities, ensuring a well-functioning and stocked workspace.

● Serve as the primary point of contact for office vendors, suppliers, and service providers.

● Manage mail, shipments, and office-related correspondence.

● Proactively enhance the physical workspace by identifying opportunities to improve office furnishings, decor, and layout to support productivity, comfort, and team pride.

● Champion office culture by designing and implementing team rituals, events, and celebrations that create a fun, welcoming, and energizing environment.

● Serve as the culture pulse of the team, helping to cultivate a positive, inclusive, and vibrant atmosphere aligned with company values.

 

HR & Employee Support

● Foster connection and engagement through thoughtfully curated touchpoints, morning coffees, team lunches, recognition moments, and seasonal traditions.

● Act as the go-to person for employee inquiries related to office operations.

● Create a sense of belonging by ensuring the office reflects and supports the unique needs and personality of the team, from onboarding welcome kits to personalized workspaces.

● Assist with new hire onboarding, including workspace setup and orientation.

● Maintain office policies and procedures, ensuring compliance with company guidelines.

Finance & Procurement Support

● Manage office budget, track expenses, and process invoices in coordination with the finance team.

● Assist with vendor negotiations and purchasing office supplies and equipment.

IT & Systems Coordination

● Liaise with IT support to manage office technology needs, including laptops, software, and access controls.

● Assist in maintaining company records, databases, and internal documentation.

Required Skills and Experience:

● Experience: 4+ years of office management, administrative, or operations experience, preferably in a startup or technology environment.

● Organizational Skills: Ability to multitask, prioritize, and manage time effectively in a fast-paced setting.

● Communication: Excellent verbal and written communication skills, with a customer-service mindset.

● Tech-Savvy: Proficiency in Microsoft Office, Google Suite, and experience with office management tools or HR software.

● Problem-Solving: Proactive approach to identifying and resolving office-related challenges.

● Collaboration: Strong interpersonal skills with the ability to work with diverse teams.

The target hiring compensation range for this role is $35 to $40 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
