Join a leading technology innovator as an Executive Administrative Assistant! You will play a pivotal role in streamlining operations and fostering a collaborative environment for a dynamic team. As an Executive Administrative Assistant, you will provide comprehensive support to two partner-level managers, ensuring seamless daily operations. Your organizational prowess and proactive approach will be essential in managing calendars, onboarding new hires, handling headcount and budget administration, and facilitating team activities. This role is a blend of 10% meetings and 90% focused administrative tasks, offering a diverse and engaging work experience.

What You’ll Do:

  • Manage complex calendars for two partner-level managers, optimizing schedules and prioritizing meetings.
  • Onboard new hires, ensuring a smooth and efficient integration into the team.
  • Manage headcount, track team budgets (travel and morale), and process related documentation.
  • Provide comprehensive onsite team support, addressing logistical needs and fostering a positive work environment.
  • Manage team spaces, coordinating logistics and optimizing resource allocation.
  • Plan and execute team events, fostering camaraderie and collaboration.
  • Order and manage equipment, ensuring timely procurement and distribution.
  • Maintain and update distribution lists, ensuring accurate communication flow.
  • Perform other administrative tasks as needed, contributing to the overall efficiency of the team.

Must-Have Qualifications:

  • 2+ years of experience managing calendars 
  • 2+ years of experience in headcount management and providing comprehensive team support (including tasks like onboarding, budget management, event planning, and equipment ordering).
  • 2 + years of experience using office productivity tools, with a strong focus on spreadsheet and email/calendar management software
  • Prior experience supporting teams within a similar corporate environment.

  • Experience supporting executive-level managers in a fast-paced environment.
  • Demonstrated ability to anticipate needs and proactively address potential challenges.
  • Exceptional organizational skills and meticulous attention to detail.
  • Excellent communication and interpersonal skills, fostering positive relationships with team members and stakeholders.

The target hiring compensation range for this role is $32 to $36 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
