Aquent is seeking a highly skilled and proactive Administrative professional to provide critical support to senior leadership within our client’s dynamic environment. This is an extraordinary opportunity to be the organizational backbone for key executives, directly contributing to the efficiency and success of high-impact initiatives. You’ll be instrumental in managing complex schedules, orchestrating significant events, and ensuring seamless operations, making a tangible difference every day.
Beyond daily operations, you will play a pivotal role in upcoming strategic projects, including the meticulous planning and execution of a large-scale event anticipated to host approximately 1,000 attendees. Your organizational prowess will be key to the success of these high-visibility endeavors. As a trusted administrative partner, you will manage a diverse portfolio of responsibilities, from executive calendaring and travel logistics to financial coordination and special project leadership. Your work will directly enable senior leaders to focus on strategic priorities, driving overall organizational objectives forward.

**Primary Responsibilities:**
* Provide high-level administrative support to senior leadership.
* Manage complex calendars, scheduling meetings, and appointments.
* Coordinate extensive travel arrangements and process expense reports.
* Plan and execute meetings, events, and morale-building activities.
* Assist with discretionary budget coordination and financial operations.
* Support personnel and facility operations as needed.
* Manage the procurement of goods and services, including office supplies and equipment.
* Serve as a primary point of contact for the team/group.
* Undertake and successfully complete special projects as assigned.
* Contribute to the planning and execution of a large-scale event.
**Must-Have Qualifications:**
* Proven experience providing complex administrative support to senior leadership.
* Demonstrated expertise in managing intricate calendars, coordinating travel, and processing expenses.
* Experience in planning and executing events, meetings, and morale activities.
* Familiarity with budget coordination and financial operations support.
* Proficiency in procurement processes for office supplies and equipment.
* Ability to serve as a primary contact and manage diverse administrative functions.
* Strong organizational skills and exceptional attention to detail.
* Ability to work standard business hours (Monday-Friday, 40 hours/week) with potential for approved overtime.
**Nice-to-Have Qualifications:**
* Recent experience (within the last few years) working in a similar fast-paced, large-scale corporate environment, demonstrating familiarity with current tools and processes.
* Experience with large-scale event planning (e.g., for 1,000+ attendees).
