Position Summary

We are seeking a highly experienced and collaborative Portfolio & Operations Manager to support a 6-month FTE leave coverage engagement. This role will focus on streamlining operational processes, driving efficiencies, managing contracts and payments, and creating impactful visualizations to support strategic decision-making. The ideal candidate will bring strong leadership, communication, and financial management skills, along with a proven ability to navigate a matrixed corporate environment and lead organizational change.

Key Responsibilities

Operational Excellence & Process Optimization

  • Lead comprehensive onboarding to tools and processes during the first ~90 days, with a primary focus on identifying opportunities for efficiency improvements and evaluating existing processes.
  • Analyze and enhance workflows across the team and broader organization to increase operational effectiveness.
  • Document, maintain, and optimize Standard Operating Procedures (SOPs) to drive process efficiency.
  • Apply a change management approach to support successful transitions to new processes, leveraging peer and people management skills to align stakeholders.

Visualization & Communication

  • Develop executive-level presentations and visual reports using PowerPoint to communicate complex operational insights to senior leadership.
  • Create dashboards and operational insights using Airtable or similar platforms to support data-driven decision-making.
  • Communicate effectively across a matrixed organization, with particular strength in navigating relationships with senior leadership.

Contract & Financial Management

  • Manage contract lifecycles, including drafting, negotiation, execution, and renewals, with consideration for vendor safety and security protocols.
  • Oversee payment processes and vendor relationships to ensure compliance and operational continuity.
  • Support budgeting, forecasting, and financial planning activities to inform strategic resource allocation.

Team Collaboration

  • Work directly with a team of 6 colleagues, all reporting to the Resilience Leadership team under the Chief Security Officer.
  • Collaborate cross-functionally to implement process improvements and support organizational objectives.

Qualifications

Required

  • Bachelor’s degree
  • Minimum 8–9 years of experience in operations management or related field
  • Strong leadership and communication skills, with demonstrated ability to navigate and influence across matrixed organizations
  • Advanced PowerPoint expertise for executive-level presentations
  • Experience with Airtable and/or Smartsheet
  • Solid background in financial management, including budgeting, forecasting, and financial planning
  • Proven experience in SOP documentation and process efficiency optimization

Preferred

  • PMP (Project Management Professional) certification
  • Prior experience with this organization
  • Corporate business operations background with vendor safety and security experience
  • Experience with peer or people management to support change initiatives and process transitions
  • Change management experience and approach to organizational transformation

Work Environment

  • Location: On-site at WHQ with Work-From-Home Fridays (currently permitted)
  • Flexibility: This arrangement is subject to change. If company policy requires all employees to work on-site 5 days a week, the resource will be expected to adhere to the updated policy.
  • Engagement Length: Approximately 6 months for FTE leave coverage
