Are you a highly organized and action-oriented professional ready to make a significant impact on critical operational workflows? In this pivotal role, you will serve as the central orchestrator of internal approval processes, directly influencing the speed and efficiency of strategic procurement and project initiatives. Your meticulous coordination and proactive engagement will ensure that vital projects stay on track, vendor relationships are smoothly established, and key decisions are made without delay, directly contributing to the operational excellence and continued success of our client.
Please note, this role requires 1 day onsite (Wednesdays) weekly in San Jose, CA
**What You’ll Do:**
As a crucial member of the team, you will be instrumental in ensuring the smooth and efficient processing of essential procurement and project documentation. You will leverage your organizational prowess and collaborative spirit to:
* Drive Workflow Efficiency: Initiate, manage, and meticulously route procurement proposals and change orders through internal systems, ensuring a streamlined approval process.
* Ensure Timely Approvals: Proactively engage with cross-functional stakeholders, diligently following up to secure timely approvals and prevent bottlenecks.
* Maintain Operational Clarity: Keep a precise status tracker for all proposals, communicating any delays outside of service level agreements (SLAs) to Sourcing Managers promptly.
* Facilitate Vendor Partnerships: Support the onboarding of new vendors, collaborating with internal teams and external partners to ensure all required documentation is systematically submitted.
* Enhance Reporting & Insights: Contribute to the development and maintenance of valuable reports, utilizing project scheduling, budget, and cost data to provide critical insights.
* Provide Essential Project Support: Offer administrative assistance to Project Managers, including detailed note-taking during coordination meetings and monitoring vendor schedules as needed, ensuring projects remain on track.
**Education & Experience:**
* Bachelor’s Degree
* 2+ years of experience in Supply Chain and/or Vendor Management, demonstrating a solid understanding of procurement processes and vendor relations.
**Technical Skills:**
* Intermediate proficiency in Microsoft Excel, capable of managing data and generating reports effectively.
**Soft Skills:**
* Exceptional organizational skills with a keen eye for detail.
* Proactive and action-oriented approach to problem-solving and task management.
* Strong collaborative spirit and excellent communication skills to engage effectively with diverse stakeholders.
**Nice-to-Have Qualifications:**
* Experience with construction project management software, which would be a valuable asset in this role.
