As a Group Assistant, you’ll be the backbone of the team, ensuring smooth daily operations and providing essential support to a dynamic group of professionals.
This role offers the chance to be a part of a team focused on promoting sustainability globally, working to protect vital resources like land, forests, water, and oceans. You will be instrumental in supporting team operations and leadership logistics, contributing directly to the team’s success in achieving its critical mission.
As a Group Assistant, you will:
- Manage team meetings and logistics, including booking rooms, arranging catering, and coordinating schedules.
- Provide comprehensive support to the team, encompassing space management, stocking supplies, and ensuring a well-maintained work environment.
- Offer direct support to team leadership, managing travel arrangements, processing expenses, and handling PTO requests.
- Tackle ad-hoc tasks as needed, showcasing your flexibility and adaptability.
- Manage the team calendar and potentially support a dedicated calendar in the future.
- Provide onsite support for leadership when they are traveling.
- Manage travel arrangements, new hire onboarding, and resource allocation.
- Enforce team policies and procedures.
- Oversee miscellaneous project management and take ownership of assigned projects.
Must-Have Qualifications:
- 2+ years of experience in administrative support, business support, or customer service with a focus on scheduling meetings and events, travel management, and basic administrative tasks.
- Proven ability to handle multiple tasks simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
- Excellent communication, interpersonal, and organizational skills.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Ability to maintain confidentiality and exercise discretion in handling sensitive information.
- Ability to lift up to 20 pounds.
Nice-to-Have Qualifications:
- 3+ years of demonstrated administrative experience in a fast-paced environment.
- Experience supporting a team with both domestic and international members.
- Experience with calendar management for multiple team members.
- Experience providing backup support to an Executive Assistant.
- Knowledge of expense reporting systems and travel booking tools.
The target hiring compensation range for this role is $27.61 to $30.68 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
