As a key member of the Communications Team, the Technical Communications Project Manager will oversee and coordinate all external marketing, communications, and creative services projects. This full-time role  (up to 37.5 hours/week) requires strong technical project management expertise with an emphasis on resource allocation, risk management, and other PMP-level competencies. The ideal candidate will possess exceptional project management skills as their primary qualification, supported by communications industry knowledge.

Key Technical Skills Required

  • Project Planning and Scheduling: Developing detailed project plans, timelines, and schedules
  • Risk Management: Identifying, assessing, and mitigating project risks
  • Resource Management: Allocating and managing resources effectively to ensure project success
  • Budget Management: Planning and controlling project budgets and costs
  • Quality Management: Ensuring project deliverables meet the required quality standards
  • Stakeholder Management: Engaging and communicating with stakeholders to ensure their needs are met

Core Responsibilities

Project Planning and Management

  • Lead the development, production, and distribution of corporate and marketing communication materials
  • Review and assess project requests from stakeholders
  • Develop comprehensive communications plans with appropriate strategies
  • Create and maintain detailed project plans and schedules to ensure timely delivery
  • Align project schedules with available resources and optimize internal resource utilization
  • Brief project teams on goals, requirements, and deliverables
  • Coordinate review cycles for content and creative materials
  • Document project phases and create summary reports for management
  • Monitor project progress, identify risks and constraints, and collaborate with teams to develop solutions

Media Coordination

  • Implement media plans and schedules in collaboration with media placement agencies, advertising agencies, or creative studios
  • Coordinate approvals of media buy recommendations and advertisement schedules
  • Ensure timely delivery of creative assets to agencies
  • Verify advertising schedules against overall project budgets

Production Management

  • Source, interview, and negotiate with suppliers and production vendors
  • Analyze quotations to provide accurate cost estimates to internal clients
  • Make vendor selection decisions based on quality, cost, and timeline requirements
  • Generate purchase requisitions with proper job specifications for outside suppliers
  • Reconcile invoices against quotations
  • Track and monitor project budgets
  • Manage production docket system and library of all production materials
  • Coordinate proofreading and quality control of materials
  • Arrange for company representation at press checks as needed
  • Ensure delivery of finished materials to appropriate destinations

Qualifications

Education and Experience

  • Diploma in Business Administration, Communications, Project Management, or related field from an accredited post-secondary institution
  • Minimum of three (3) years of directly related experience in project management, preferably in a marketing or communications environment
  • PMP certification or equivalent project management credentials preferred

Knowledge and Skills

  • Thorough knowledge of print production procedures, including pre-press and printing technology
  • Strong understanding of digital and social media production requirements
  • Comprehensive understanding of various communications media (collateral, web, advertising – print, radio, TV, online)
  • Ability to assess vendor work quality and evaluate estimate accuracy
  • Excellent communications planning and project management skills
  • Strong budgeting and time management abilities, including working effectively under tight deadlines
  • Proficiency with project management tools and methodologies
  • Superior verbal and written communication skills
  • Advanced knowledge of relevant software applications, including Adobe Creative Suite (Photoshop, Illustrator, InDesign) and Microsoft Office
