The Billing and Collections Specialist is responsible for managing the end-to-end billing process and ensuring the timely collection of payments from customers. This role will collaborate with internal teams to monitor and analyze financial metrics, trends, and projections to support business objectives.
The ideal candidate must have advanced Excel skills, including proficiency with formulas such as COUNTIF, SUMIF, VLOOKUP, Data Validation, Filters, Pivot Tables, and Data Analysis, as well as the ability to merge and analyze large data files.
Key Responsibilities
Billing & Financial Reconciliation
- Process vendor files through the billing system and ensure accuracy.
- Generate financial summaries for each vendor, detailing customer invoices and amounts owed.
- Reconcile accounting and financial transactions to maintain accuracy and compliance with GAAP.
- Send invoices electronically to customers and resolve any discrepancies.
- Address customer and vendor billing inquiries in a timely and professional manner.
Collections & Payment Processing
- Monitor credit card payments, ensuring proper processing and investigating discrepancies.
- Contact customers with overdue accounts, facilitating payments or negotiating repayment plans.
- Maintain accurate records of contact history and follow-ups on delinquent accounts.
Financial Reporting & Analysis
- Assist in month-end and year-end close activities, ensuring accuracy in financial reporting.
- Track, analyze, and report key financial and operational metrics on a monthly basis.
- Provide ad hoc financial analysis and reporting to support decision-making.
- Identify and recommend process improvements to enhance efficiency within the Finance team.
Collaboration & Compliance
- Work cross-functionally with finance, accounting, and operational teams to ensure alignment on billing and collections processes.
- Ensure adherence to financial regulations and internal controls to maintain compliance.
Qualifications
- 3+ years of experience in billing, collections, and financial reconciliation.
- Strong knowledge of Generally Accepted Accounting Principles (GAAP).
- Experience in multiple areas of accounting and financial analysis, including billing, collections, reporting, and financial modeling.
- Advanced proficiency in Microsoft Excel, including experience with COUNTIF, SUMIF, VLOOKUP, Pivot Tables, Data Validation, Filters, and Data Analysis.
- Experience with ERP systems (NetSuite preferred).
- Strong analytical and problem-solving skills, with the ability to identify trends and recommend actionable insights.
Education
- Bachelor’s degree in Accounting, Finance, or a related field, or an equivalent combination of education and work experience.
The target hiring compensation range for this role is $35.00-40.00 an hour. Compensation is based on several factors including, but not limited to education, relevant work experience, relevant certifications, and location.
