Corporate Events Manager: Breakouts & Labs Program Manager

Speaker Management

• Development and distribution of speaker confirmation to internal and external speakers
• Development of internal speaker resource site and speaker documentation (timelines, logistics guide, tip sheets, templates)
• Development of external speaker resource site on Call for Topics speakers and external documentation/resources (timelines, logistics guide, tip sheets, speaker checklist)
• Manage registration for all external speakers
• Collection of speaker headshots and bios (sizing & editing)
• Development of ongoing internal and external speaker communications (newsletters and updates)
• Creation of presentation and hosting of speaker orientation webinars
• Support of speaker blog program
• Coordination of speaker training (contracting speaker trainer, logistics, coordinating training times with speakers)
• Coordination of room check scheduling with speakers
• Collection of presentations (1st draft, final draft, “for the web”)
• Coordination on PPT conversions
• Responsible for presentation posting internally and externally in Session Catalog (one week post event)
• Delivery of attendee breakout session event feedback reports circulated to content owners, session owners and speakers

Logistics Management

• Manage relationship with breakout session and lab producer
• Review/approve floor plans from breakout session and lab producer
• Verify rooms capacities and set-ups
• Coordinate special room/equipment requirements with breakout session and producer
• Coordinate lab equipment with sponsorship team and tech infrastructure manager
• Liaise with lab team and creative services on the lab portal look and feel to ensure it adheres to event branding
• Development of onsite lab processes and technology requirements for both the Instructor-led and Self-paced labs as needed
• Review breakout session and lab producer’s master at-a-glance document
• Onsite management, execution and troubleshooting of breakout sessions and labs

Session Management

• Liaise with Channel team to get finalized content according to timeline
• Liaise with Tech Support to get finalized content according to timeline
• Own and update master breakout session and lab document
• Work with web team to ensure session catalog is reflective of event brand look and feel
• Supply vendor with catalog search criteria
• Coordination and testing of session catalog and dynamic breakout session web page
• Management of lab staggered schedule (releases weekly to catalog)
• Ongoing review of session catalog vs. master session document

Call for Topics

• Development and testing of 3rd party vendor’s submission site
• Work with web team on submission site look and feel
• Work with copywriter on web copy for landing page and interior pages
• Submission reporting
• Webinar/training of tool to review committee
• Develop and distribute notices of acceptance and non-acceptance to all submitters
