e-Marketing Project Coordinator

The Marketing Services Project Coordinator schedules and tracks e-Marketing projects, including web, email and development requests by working directly with marketing, product management, finance, outside suppliers and other personnel to successfully deliver as defined.

Specific duties include:
• Tracks and analyzes business volumes and employee schedules and shifts, providing observations and feedback to managers to support them in leveraging resources and realizing benefits of productivity/performance improvements.
• Provides various reports in support of resource management such as employee attendance, schedules and resource availability, adherence reports, to assist manager with improving overall productivity, efficiencies, and to identify trends and variances.
• Compiles information from various sources daily into spreadsheet or database to ensure management has one consistent view of organizational performance.
• Provides job report statistics to management for each functional group to track project volume assessment, number of jobs, hour per job and other information requested by management
• Set-up and bill jobs in current project tracking system
• Develop and successfully manage project budgets, schedules, projections, and deadlines for all web and email projects, updating team members and clients appropriately.

• Oversee team expectations regarding scope of work and responsibilities, collaborating with project team to create a weekly/daily production work plan and escalate any issues as appropriate.

• Prepare and maintain project documentation – estimates, job folders, budgets, invoices, etc.

• Coordinate with managers to identify reserve and schedule resources – internal and external.

• Clearly communicate with internal designers and web resources the process, quality expectations and response time for web and email projects.

• Effectively communicate with supervisors and project team members in regards to project progress and deadlines.

• Assist other Marketing Services personnel with backlog and other coordination tasks as determined by the Project Planning Manager.

Minimum Requirements/Qualifications:
• B.A. or B.S. Degree in Marketing, Advertising, Communications, Public Relations, or Business Administration

• Minimum of three years experience in marketing communications or traffic for an in-house agency, design studio, or a communications department

• Proficient in the Microsoft Office Suite including: Word, Excel, Outlook, Visio and preferably Project.
• Strong aptitude and desire to learn
• Extremely detail oriented
• Strong communication skills to interact openly with management on reporting and statistics of their team’s performance, as well as gathering information from management regarding schedules or any other information needed
• Team player willing to adapt to organizational change

• Ability to navigate various personalities and be assertive when required
• Ability to work independently with minimal direction and without direct supervision
• Strong interpersonal skills
