Video Production Coordinator

We are looking for an organized and video savvy Production Coordinator to join a fast growing team with our top fortune 500 client in NYC. This role will report to and work closely with the lead producer and head of video within this organization creative team. This group supports all integrated teams under creative services and are responsible for internal and external videos from concept to delivery.

This Video Production Coordinator will have a large part in handling budget tracking, working closely with Project Managers to ensure projects are on time and quality assurance for projects in various states of completion. The ability to multitask will be an important part of this role. The ideal Production Coordinator will have a strong understanding of how the language of production works and what steps are taken for delivery of digital video content.


Let’s take a look at the responsibilities for this role....

• Assist Producers for the organizational and logistical aspects of video production scheduling and budgeting
• Ensuring that productions run smoothly, meet deadlines, and stay within budgets
• Create and manage monthly production schedules across all video content
• Update schedules daily as new information and shoot needs develop
• Liaison with Production Services to coordinate ingest of footage; archiving of projects; booking edit and graphics sessions
• Assist producers to find locations, negotiate deals and get location agreements executed
• Research and order set furniture, overseeing delivery and pick up
• Liaise with building security so all appropriate steps are met for vendors entering premises
• Organization of b-roll library
• Responsible for negotiating rates, hiring/onboarding new crew and vendors as needed
• Ensure freelance hires understand their responsibilities and code of conduct for each shoot
• Provide excellent logistic support to so producers and directors can focus creating best in class creative content
Manage requests from producers and marketing Partners including but not limited to:
• Work with producers on final deliverables checklist
• Ensure that all necessary licenses and clearances have been obtained for a production (Getty, stock imagery, stock music)
• Ensure on camera contributor’s needs are met
• Make sure set needs are properly communicated and carried out
• Prioritizing/navigating conflicting claims on studio resources, e.g. studio space, equipment, vendors etc. and escalate to Head of Video when necessary
• Track and reconcile vendor invoices, receipts & petty cash

• The ideal candidate has a minimum of 2 + years in a similar role. A successful candidate will possess the following qualities:
• Must be very organized and able to juggle several projects at a time
• Ability to work in fast-paced environment under tight deadlines
• The ability to work flexible hours including nights and weekends (when required)
• Must have knowledge of lighting, cameras, and audio
• Understands the brand and voice
• Can work positively and collaboratively with internal staff
• Grace under pressure, great people skills, high integrity
• Great organizational skills (both with media management & personally)
• Must have the ability to be discrete and maintain confidential information as well as the ability to work independently, efficiently and able to meet deadlines
• Knowledge necessary to make digital, social video a plus
