Traffic Coordinator

Highly focused, detail-oriented, enthusiastic, creative and organized team member who is a problem solver and has the ability to multi-task. The Traffic Coordinator is the center from which all work is controlled, the focal point of communication to maintain creative workflow and traffic assets. The Traffic Coordinator manages the process of jobs flowing through the department from inception to completion, accountable for all phases of a project, informing each department of developments relating to each job as they happen.

Additional responsibilities include data input in ePace department management system, i.e. job order entry, enter project details, dates. Assist with end of month chargeback, capturing time spent per order, entering in system.

Order Management and Planning
• Responsible for the intake and tracking of all creative orders received in storefront/ePace system and placed in creative folder, as well as requests received via emails, phone interactions. Monitors and directs actionable items received in company email account for all activities as required.
• Ensures all project information is entered in traffic system including proof dates, job details, assigned designer, appropriate job title/descriptions, etc. Print all orders and attachments. Enter in Filemaker or current job tracking system. Distribute to design staff. Update scheduling tool throughout the day.
• Manages all creative projects deadlines (including proof in and proof out dates, PDFs needed to meet internal print deadlines as well as vendor deadlines), reviewing daily work schedule, anticipating obstacles, and troubleshooting where necessary. Ensures that all work/change order requests have been addressed and completed.
• Generates and manages schedules for all jobs, enforces schedule deadlines.
• Reviews status of work, upcoming projects, and team assignments with Manager. Updates all job status information in department database; generates status reports for department and conducts status meetings.
• Attends start-up meetings upon new jobs - as requested.
• Gather job totals in preparation for monthly chargeback review. Prepare job time total excel file for upload into system. Run monthly report and reconcile with management.
• Other duties as assigned.

Reach
• Understanding of Federal as well as Drug Regulatory guidelines as it relates to branded layouts, OPDP, eMAP, oMAP, Progress submissions within marketing arena to help ensure compliance across external customer-facing products.
• Ensures compliance across all divisions within branding standards. Comprehensive understanding of company brand guidelines and product branding.
• Optimizes resources and talent within design staff as appropriate per project.
