Traffic Coordinator

SUMMARY:
This position serves a pivotal role in coordinating the work and production schedule within the Corporate Communications department and is responsible for managing a job tracking system, coordinating reports and budget data. The Traffic Coordinator works with an internal creative team and external vendors to facilitate implementation of print and web-based communication.


ESSENTIAL DUTIES/RESPONSIBILITIES:
Job Tracking – Serve as the liaison between clients, writers, graphic artists and external vendors. Manage production database and track multiple projects, deadlines and priorities. Run job tracking reports and facilitate a weekly production meeting with Corporate Communications staff.

Vendor Management – Work with outside vendors, such as printers and photographers, to obtain estimates, schedule work and coordinate invoice payment.

Budget Management -- Use SAP to pay invoices and provide budget coordination for the Corporate Communication department. Forecast and allocate expenses and develop budget reports.

Special Events Support and Meeting Planning -- Coordinate logistics for manager meetings and all employee meetings, including presentation materials and handouts, site coordination, and audio/visual/IT interface.

Project Assistance -- Proofread web and print-based communication materials.
Use technology to distribute employee messages and Vignette to publish web content on the Internet/intranet. Assist in other departmental projects as needed.

Materials Management -- Coordinate distribution of Corporate Communications materials to employees and work sites, and arrange for onsite/offsite storage of inventory items. Serve as records manager for the department, in keeping with company policy for records retention and storage.
