Reporting to the onsite Studio Director, the Aquent Traffic Coordinator will manage workflow and process efficiency for our client's dedicated studio that supports their Global Marketing Communications. Working onsite at this pharmaceutical company's Whitehouse Station, NJ location, the Traffic Coordinator will coordinate workloads of the design team and traffic projects after intake by account managers through final file release. Projects will be approximately 80% print and 20% web. Tasks will include working closely with account managers to manage workload balancing to meet all project deadlines, project tracking and reporting, budget tracking and invoicing, assembling assets for design projects, markup of changes, version control and QC of final files and regulatory submissions.

The amount of administrative duties and responsibilities in this role is high and, as such, we seek someone qualified to handle the demands and requirements of heavy administration within a coordinator role.

Principal Responsibilities:
• Exhibit an excellent customer service attitude at all times, and effectively represents Aquent’s values.
• Develop a keen understanding of the client’s brands standards, file management and naming protocols.
• Coordinate all submissions for approvals - assuring the proper management and version control of all submissions, creative and regulatory
• Manage flow of multiple projects concurrently, taking ownership of deadlines, and communicating priorities to the design/production team.
• Manage project database(s) and reporting (client and internal) taking ownership of accuracy of information.
• Demonstrate a high-level understanding of all phases of the design/production process from project inception through final release of files.
• Meet daily with account managers to plan staff assignments, priorities etc. Assist in making projects “work ready” by pulling assets, marking changes etc.
• Oversee adherence to file structure standards, naming conventions.
• QC files prior to submissions as requested.

Account Growth/Business Development:
• Exhibit enthusiasm for developing new business for Aquent by building client confidence based on performance excellence.
• Understand and identify potential opportunities with existing clients for follow-on work, and communicate these to the Studio Director.
• Help identify and define workflow best practices

Qualifications Needed:
o Bachelor’s degree or equivalent experience in a related field.
o Understanding of compliance & regulatory requirements.
o 2-5 years of traffic management in a design studio, internal creative department, or agency environment with demonstrated success managing large volume of projects in a fast paced environment.
o Excellent client service skills with strong diplomatic verbal and written communication skills.
o Understanding of InDesign, Acrobat, PhotoShop and Illustrator.
o Ability to estimate resource requirements based on project scope
o Demonstrated understanding of all phases of the design/production process from project inception through final release of files – including print production and image rights management.
o Demonstrated ability to work collaboratively with project teams.
o Experience working under continual deadline constraints with demonstrated ability to juggle multiple quick-turn projects and changing priorities.
o Proficiency with basic office computer applications – especially Microsoft Office.
