Traffic Coordinator - NY Swing Shift

As Traffic Coordinator, you'll work with many areas of the firm and serve as the access point for on-site and remote customers. You'll evaluate project needs, recommend project solutions, estimate costs and schedules, communicate standards and approvals, route materials accordingly, and manage customer relationships and expectations. You'll be responsible for and manage resource capacity by balancing and assigning work based on skill sets and availability.

In this role, you'll frequently work independently, and inform supervisor of project status. You'll also share your knowledge of firm projects with team members. Occasional travel, overtime and flexibility in work schedule may be required.


· Advise customers of correct procedures, standard requirements, and appropriate approvals

· Maintain familiarity with quality and compliance approvals and processes

· Develop and manage customer relationships and expectations. React appropriately to unexpected situations and communicate situations to leadership as necessary

· Make resource assignment based on assessment of project requirements and by applying knowledge of staff skill sets. Negotiate deadlines with customers as well as re-prioritize active projects to gain availability of appropriate resources

· Review customer-submitted work requests for accuracy. Follow up on missing or incomplete information. Answer any customer queries

· Assign work requests and coordinate day-to-day schedules of staff to meet utilization and productivity targets and minimize overtime. Alert leadership of any workload issues

· Maintain knowledge of tracking tools and submission documentation

· Train employees on tools, file formats, operating guidelines and quality standards, and intake process

· Perform review of documents and provide coaching to staff on quality issues, as needed

· Analyze project deliverables, assign required level of support, and/or determine appropriate approval routing

· Balance workload among team members

· Make decisions independently, based on firm policies and procedures

· Understand key requirements of the approval, scheduling, routing cycle and filing deadlines as well as related policies and procedures

· Understand and adhere to policies and procedures, review and approval processes

· Interact effectively and maintain a positive demeanor in a fast-paced environment, while demonstrating tact and diplomacy

· Dependability, strong teaming skills and the ability to prioritize and meet deadlines

Knowledge and skills requirements

· Demonstrated organizational and analytical skills

· Strong attention to detail, and a commitment to follow through projects

· Excellent customer service skills, including strong telephone communication skills, with all levels of the firm

· Ability to manage and coordinate projects simultaneously with multiple-level tasks, and to function independently while exercising sound judgment

· Ability to process a high volume of incoming requests with speed and accuracy using a variety of proprietary databases and firm tools

· English language skills - excellent written and verbal communication

· Ability to work, team, and communicate effectively with customers and team members in a global culture

· Demonstrate proficiency with standard software applications, such as Microsoft Office, Outlook and other basic applications

· Experience in print media and understanding of Adobe Creative Suite a plus

Bachelor's degree or equivalent work experience
