Tradeshow Fulfillment Coordinator

The Tradeshow Fulfillment Coordinator is responsible for the project management and successful execution of industry tradeshow participation, including the tradeshow exhibit experience, related sponsored events, and other activities associated with the tradeshow. This person will be the knowledge hub of all schedules and arrangements for a multitude of national tradeshows as well as other appropriate events, potentially including regional tradeshows. This person will work closely with a variety of people across the organization, particularly Marketing and Sales, as well as external vendors such as hotels, exhibit companies, product suppliers, and other vendors. The ideal candidate is an energetic, forward-thinking, and creative individual with the ability to work quickly and efficiently on several projects at one time. are results-oriented, have strong time management skills, and work enthusiastically in a constantly changing environment. The position entails considerable interaction with clients, team members, and other departments within the client.

Key Responsibilities

• Develop (in conjunction with supervisor) project plan to achieve desired tradeshow goals
• Responsible for pre-planning, onsite execution, and post event wrap up
• Manage and execute on project plan
• Develop and maintain PPT to communicate initial and updated information on tradeshow itself, MMS’ opportunity at tradeshow, timelines, plans, roles & responsibilities, etc.
• Develop regular rhythm to share updates with key functions
• Potentially attend tradeshow to manage set-up, booth activities, and tear-down


• Communicate plans to external partners to ensure their understanding of deliverables and our expectations
• Manage others’ completion of their deliverables on time and on budget

• As needed in relation to national tradeshows, regional tradeshows, and other events 10

Minimum Job Qualifications:

Education/Training –
• Bachelor’s degree required
• 2-5 years of professional experience
• Project management experience
• Comfortable with PC and Microsoft Office suite of tools

Business Experience –
• Experience in tradeshow or event project coordination
• Strong attention to detail, highly organized, computer literate
• Excellent communication skills (written and verbal)
• Ability to manage multiple tasks simultaneously
• Ability to work well in a fast-paced professional office environment
• High level of professionalism
• Strong problem solving abilities
• Ability to work both in a team-oriented environment and independently and assume responsibility
Specialized Knowledge/Skills –
• Strong project management skills
• Previous exposure to tradeshow or event management

Not Required but a Plus:
• Experience measuring event performance and reporting

Working Conditions:
Environment
• Traditional office environment during planning phase(s)
• Travel as needed to support tradeshow exhibit
• Tradeshow set-up, tear-down (often in conjunction with exhibit company)

Physical Requirements
• Large percent of time performing desk-based work (computer, telephone)
• Some physical duties required: packing/shipping, booth set-up and tear-down.
