Technical Administrative Specialist, (San Ramon)

One of Aquent’s valued Energy clients in the San Ramon area is seeking a dynamic candidate Technical Administrative Specialist for a 12-month contract with the option of an extension. The Administrative Professional provides administrative and office management support for the IDC manager, supervisors and work teams.


Overview of Role:
Responsibilities for this position may include, but are not limited to the following:
• Perform business and financial administration.
• Generate a variety of SAP, BRESBILL, IT related reports
• Maintain business and personnel confidentiality
• Perform billable project administration and project tasks, including processing invoices, redirecting charges, scheduling/coordinating client meetings as requested, and implementing compliance requirements as related to project financial administration
• Perform administrative tasks including, but not limited to, filing, taking and distributing meeting notes, creating and populating Office documents as requested, answering emails and monitoring phones, and ghostwriting memos and office communications
• Monitor team training requirements and compliance
• Manage the office environments including organizing office moves, space planning, furnishings, and ordering of non-CBRES provided office supplies
• Coordinate meetings and events and coordinate travel requests for the IDC Leadership Team
• Assist in the on boarding of new employee and contract personnel; organize and arrange office space/equipment, phone/email access, office orientation, etc.
• Maintain group distribution lists, key contact information and organization charts
• Monitor IDC SYNERGY queue and process incoming requests
• Create SAP project codes and sales orders, process invoices and research inquiries for CBRES Digital Media and Audio Visual
• Monitor PGPA Brand Center mailbox; process new user and password requests in Brand Center SharePoint site
• Assist with special projects
• Act as backup for Houston administrative assistant and project coordinator
Required qualifications:
• Attention to detail, and a focus on accuracy
• Moderate PC computer skills
• Excellent written and verbal communication skills
• Ability to multi-task and prioritize projects
• Ability to learn quickly and apply new tools and techniques
• Time management skills
• Experience working with Microsoft® Excel and Outlook
Preferred qualifications:
• SAP proficiency
SharePoint proficiency
