Studio Coordinator

Full-time position assisting with the day-to-day operations of the in-house studio. Job
responsibilities involve basic production & administrative functions including data entry, estimate
running, reporting/tracking, customer service, client/vendor communications, asset management
and distribution, light project management, electronic & physical filing, administrative and accounting

• Exceptional organizational and prioritization skills
• Excellent communication skills - verbal and written
• Strong Computer skills including proficiency in all Microsoft programs, basic knowledge of
Adobe Suite programs and navigating web based applications
• Ability to collaborate and communicate effectively with co-workers, vendors, corporate and
center employees/managers regarding design projects to ensure processes run smoothly
• Ability to work a flexible schedule based on the workload of the Studio
• Must be able to cope with shifting priorities, difficult situations and tight deadlines
• College Degree preferred or equivalent experience required

• Production Assistance
• Data Entry & Reporting: Updating Project Management System
• Reviewing, Tracking & Filing To Print forms
• Tracking and Shipping Troubleshooting
• Straight Reprint Fulfillment (as needed)
• Running estimates
• Distribution List & Spreadsheet Management
• Source and/or Place Hardware orders (as needed)
• Consult Marketing Directors and Designers - Review material and options to execute
production needs.
• Customer service regarding production brainstorming with clients and trouble shooting issues
• Assist Production Team
• Traffic/Administrative Functions
• Print project request forms for Traffic Manager (daily)
• Asset Distribution & Management: Filing & Uploading/Downloading for Off-Site Designers
• Software Program Maintenance & Customer Service (username/password resets, Q&A, etc.)
• Designer Support – Locating art files & reference materials
• Customer Service– Project Status updates, research, image compilation, etc.
• Design and sample filing - moving freelance files onto server
• Resolution of technical, production, and accounting challenges
• Light Project Management
• Purchase image credits as needed
