Sr. Marketing Coordinator/Assistant

Are you a tech-savvy Sr. Marketing Coordinator looking to get your foot in the door with a well-known Entertainment company? 

Position Summary: 
Provides high level executive, administrative and special project support to Chief Marketing Officer, and other individuals in the marketing department. Position acts as a gatekeeper and is expected to manage all day-to-day administration and operations for this Executive, as well as handle ad hoc projects. Individual must be proactive and eager to take on additional stretch projects. In addition he / she must be an effective communicator, well organized and have strong attention to detail. 

Duties and Responsibilities: 

• Answers phones, proactively screens calls and takes messages 
• Reviews and responds to routine e-mails and correspondence 
• Acts as a liaison between visitors and department executive 
• Coordinates meetings and ensures the necessary facilities and equipment are reserved 
• Manages schedule and calendar; Assists with the prioritization of the executive’s daily activities 
• Makes travel arrangements and creates itineraries 
• Creates and logs expense reports 
• Composes, proofreads and edits memos, letters and e-mails; performs data entry, copying, faxing, printing, binding, mail distribution and supply ordering 
• Provides administrative support to the department as necessary 

Project support: 
• Prepares PowerPoint presentations for executive and board meetings as needed; assembles information received in different formats from different parties; adept with PowerPoint tables and graphing tools 
• Collects data for various reports, analyzes data in excel and creates graphs to depict trends; summarizes information received from multiple sources and determines what information is most important 
• Researches relevant media and marketing trends and news; researches and provides information on third parties (people and companies) in advance of scheduled meetings 
• Actively tracks open positions, new headcount requests and approvals plus terminations across all teams 
• Accurately code invoices to the right departments for payment processing and approvals 
• Plans and coordinates special projects and events, including team meetings / events involving 200+ people 
• Supports ad hoc special projects upon request 
• Performs other duties as assigned 

Minimum Qualifications: 
• Bachelor’s degree or equivalent experience 
• Minimum two years of experience in a role providing administrative as well as presentation and analytical assistance in a media and/or consumer subscription company

• Ability to effectively multi-task and prioritize on a daily basis 
• Uses sound judgment in managing day-to-day administration and managing confidential information 
• Consistently meets deadlines and anticipates business needs in a fast paced and rapidly changing business environment 
• Excellent communication, influence and interpersonal skills; maintain friendly working relationship with internal and externa; customers at all levels 
• Excellent spelling, grammar, proofreading and editing skills 
• Strong organizational skills and meticulous attention to detail 
• Is flexible and able to maintain a high degree of professionalism under pressure and tight deadlines 
• Self-motivated and proactive 
• Resourceful problem solver 
• Positive attitude and strong work ethic 
• Must have legal right to work in the U.S. 

Technical Skills: 
• Strong computer skills and technical savvy required: Microsoft Office, PowerPoint, Excel, Word, Outlook, Concur, Jabber required
