Sr. Executive Assistant / Creative Coordinator

Sr. Executive Assistant/Creative Coordinator will provide production and administrative support to an Executive Producer in the game and entertainment field and will serve as an office liaison communicating across internal teams and external partners. The ideal candidate has experience in television and/or video game production with a natural ability to multitask and organize the work of others.

Candidate will be a passionate, self-motivated, creative professional. To be successful in this role you must be comfortable working on fast and ambiguous efforts, tracking multiple work streams, and enjoy working with many different teams. A proactive approach to creative problem solving will be essential.


Responsibilities:

• Interface with internal teams and external partners to provide updates on current projects on behalf of the Executive Producer
• Serve as production liaison between Executive Producer game teams, Franchise, and Marketing, to ensure efficient communication
• Provide meeting support to the Executive Producer through call-initiation, note-taking and follow-up
• Create and update production action-item and issue tracking lists
• Manage delivery & tracking of development & production materials for current shows
• Manage expenses, prepare expense reports and track through various stages of account processing
• General administrative duties including: answering telephones, setting up conference calls, meetings, lunch meetings, copying, filing
• Manage calendar and scheduling meetings using Outlook
• Arrange domestic and international travel
• Perform other related duties as required by management

Requirements:

• 3+ Years of experience as an assistant/creative coordinator to a GM level executive or above in a fast paced creative environment
• 2+ Years of experience in the TV or games industry is a plus
• Strong organizational skills, communication skills as well as excellent writing skill
• Knowledgeable in all Office applications including, Word, Excel, Access and PowerPoint software applications.
• Quick learner, proactive and self-motivated
• Strong phone skills
• Detail-oriented and have excellent organizational and people skills
• Flexible, personable, self-starter and extremely detail-oriented with the ability to interface with the creative community
• Ability to work well with others and collaborate across the organization to achieve goals
