Sr Direct Mail Print Coordinator

The Sr. Direct Mail Coordinator / Business Analyst in Bus Ops coordinates and manages offline kit production, print and direct mail programs, and will interact with internal and external business partners with integrity, a strong attention to detail and the ability to manage daily operations and processes, multiple priorities on a daily basis to support our correspondence systems and fulfillment areas. This tactical position requires a thorough knowledge of the direct mail and print production process. He/she must be a proactive leader and communicator, with a strong sense of accountability and a day-to-day focus on results. This role requires flexibility, dedication, analytical and common-sense approach to ensuring that products are delivered accurately and on time.

Responsibilities:
• Working with Product Management and other Business teams elicit requirements using interviews, document analysis, requirements workshops, business process descriptions, use cases, scenarios, business analysis, task and workflow analysis
• Plans, implements, and oversees offline kit / direct mail programs, runs and monitors programs, schedules and provides procedures to ensure on-time delivery to internal and external customer satisfaction.
• Provides accurate and timely feedback to internal constituents regarding service failures, customer concerns, order statuses and/or work changes.
• Identifies and communicates issues that could affect quality or impact service level agreements in proactive manner.
• May work to assist with new creative package development and project estimating.
• Assist in performing project set up to include communicating job schedule, print production and mailing specifications. Set up pre-planning meetings as required for new/unique projects
• Communicates job expectations to vendors and internal clients, specifications and requirements, artwork / assets, project matrices, letter-shop instructions, Data Processing (DP) Instructions.
• Monitors material required for internal signoff processes, (i.e. Final Product Development Specifications, Kitting insert packages, etc.) and/or performs internal signoff for release to production.
• Proactively identify potential process improvement areas, suggest options and recommend approaches
• Reviews and provides milestone signoffs as required for approval
• Performs required quality checks (review of data dumps. Print QC) prior to approval for production release
• Handles general reporting, inventory duties (this may include monitoring printed inventory usage, reviewing print schedules, daily or end of job inventory reporting, count reports, postage usage, metrics reports etc.) Assemble and present a comprehensive quarterly analysis of direct mail activity and performance, successful tests, and major achievements over the prior quarter
• Ensuring appropriate internal/external persons have been notified and required documents distributed for production alterations or additional costs / resources to the project.
• Integrates creative, printing and mailing logistics management into projects and initiatives.
• Take the initiative to explore technical capabilities and creatively recommend complete solution options to achieve business projects and objectives
• Drive and challenge business units on their assumptions of how they will successfully execute their plans
• Collaborate with developers and subject matter experts to establish the technical vision and analyze tradeoffs between usability and performance needs
• Work with other Technology teams such as Engineering, Database Engineering, and Web Development teams in project technical design
• Work cross functionally with other groups to design new correspondence and improve existing messaging
• Provide level of effort and implementation strategy for projects
• Contribute to and assist with launching highly targeted, triggered correspondence campaigns. Design and implement automated data extracts and transfers. Measure and report on success.
• Support business critical requests from other ECD teams / departments
• Build strong cross-functional relationship with business units
• Create and maintain a library of correspondence best practices for a community of internal stakeholders Carry out the strategic plan and correspondence roadmap for ECD
