Sr. Administrative Assistant

We are seeking a creative multi-talented Administrative Assistant for our Fortune 1000 travel client.

Terms: 1 year contract - Looking to hire after the contract is completed

To be considered you must have had the professional title of ADMIN OR EXECUTIVE ASSISTANT.

Provide administrative and clerical support to the Global Tour & Transport Operations and Connectivity teams including:
• Occasional calendaring & messaging support
• Arrange large calls/meetings both internal and with other companies
• Expense reporting support for several individuals
• Travel arrangements, particularly small group travel/arranging cash advance requests as required
• Catering arrangements for internal/vendor meetings
• Securing of off-site locations (meeting facilities for example) for meetings/setup and assistance on location
• Manage weekly team events including food deliveries or reservations
• Manage conference rooms
• Administer department award program (coordinate nominations/selection, handle award ordering/distribution/intranet updates and other related messaging)
• Office moves, new employee setup
• Setup holiday lunches, Christmas cards for vendors, etc.
• Ordering of office supplies/equipment/swag/business cards/flowers/gifts, etc.
• Note taking during partner meetings or other team meetings as necessary
• Planning for partner events (logistics and reservations if needed)
• Ad hoc tactical requests (research websites, organizing data for reports)
• Consolidate/aggregate power point presentations (if multiply team members are presenting to the same group)
• Assist with help desk requests
• Maintenance of organization charts and headcount tracking

Requirements:
• Required to handle confidential materials and communication with discretion.
• Ability to multi-task and take requests from multiple individuals.
• Work on assignments that are moderately complex in nature where judgment is required in resolving problems and making routine recommendations.
• Can prioritize work tasks with some oversight. Performs routine duties without instruction.
• Available to work a relatively early schedule to meet international time zones (e.g. 7am)
• Strong Microsoft Outlook, Word, Excel, PowerPoint skills
