Specialist - Project Management & Purchasing

We are hiring a Specialist for Project Management & Purchasing.

This role is responsible for creating and managing schedules to facilitate the creative execution of in-store merchandisers, fixtures and props. Responsibilities also include partnering with internal teams and external vendors to purchase produce in-store merchandisers, fixtures & props on time and on budget.

Project scope will include project management, purchasing and production of merchandiser, fixture and props for multiple channels.

Responsibilities:
• Develop and maintain current schedules for in-store merchandisers, fixtures and props.
o Ensure that all schedules are updated on status document and new projects are scheduled within 48 hours of kick off
o Proactively communicate any changes to internal and/or external business partners
o Own communication of schedule updates in weekly visual merchandising and vendor status meetings
• Own scheduling weekly status and kick off meetings with vendors
• Work with Production Artists and Project Managers to ensure mounted and graphics printed direct on fixtures are released on time.
o Follow up on any unanswered questions in order to ensure Production Artists have vendor provided die lines and clear direction
• Work with multiple external vendors to purchase/produce merchandisers, fixture and props for multiple channels
o Ensure vendors have the most updated schedules to ensure all fixtures, merchandiser and props are delivered on time
o Partner with VM to provide detailed specs to obtain estimates, share initial estimates with budget owner for approval. Revise estimates when necessary and communicate any changes to budget owner.
o Work with vendor to proactively provide creative and cost cutting options and solutions
o Partner with Visual Merchandising, and vendor to product prototypes for in-store walkthroughs
o Follow up with multiple VM business partners to ensure they have provided vendor with final specs, quantities including overs and distribution list on schedule
o Obtain final estimate share with budget owner for approval
o Write PO and send to vendor
o Partner with Operations to write Schwarz receiving PO’s
o Partner with Finance and Inventory Control to pull Sku’s and PO’s for items shipping to the DC
o Partner with client-Transportation to connect them with all vendors prior to ship date
o Obtain tracking for all shipments and share with budget owner, Store Operations and Visual Merchandising
o Approve draft invoice to ensure it matches the estimate and the proper GL code is noted prior to vendor sending invoice to accounts payable

Requirements:
• 4 year college degree or equivalent experience
• 3 - 5 years experience with managing projects/creative process
• 1+ years of production or purchasing experience a plus
• Must have great attention to detail with excellent verbal and written communication skills.
• Must have strong organizational, project management and planning skills with the ability to work under tight deadlines and to effectively manage multiple projects simultaneously. Must have ability to quickly jump from one project to the next as priorities change.
• Must have experience working with outside vendors
• Proficient with Microsoft Word, Excel, FileMaker Pro and be familiar with design software terms


Key Accountabilities:
• Develop and maintain current schedules for in-store merchandisers, fixtures and props (50%)
• Work with multiple external vendors to purchase/produce merchandisers, fixture and props for multiple channels (50%)
