Retail Ad Production Coordinator

Manages all of the details of a weekly Ad by Version, Zone and Blocks to produce error free Ads that meet all deadlines and conform to all current Advertising standards. (ex: Ad Blocks, Mkt. Messaging, Soda/DSD, pricing, ad changes and production layout changes). Directly responsible for management of Ad errors that can result in margin erosion, wasted expense in reprinting the error, customer loss and retention, negative sales impact, customer service issues and pricing perception.


  • Pulls daily consolidated by version to ensure that changes of ad block is current.
  • Review, document and execute emails and marked proofs from CM, ACM, VPMM, Promo Coordinator, Print Buyer, FMM, DSD Analyst, Pricing and Marketing to ensure their requests are reflected in the ads. Pulls daily reports from the Promo Tool to implement requested changes within the ad thru all Ad versions and Ad zones.
    Troubleshoot discrepancies found when proofing the Ad against Consolidateds, DSD grid, Versioning grid and Messaging Grid across all store data in the chain by version.
  • Proofs (18) 40 page Consolidateds weekly, DSD Grid’s, Versioning Grid and Messaging Grid against the Ad pages to ensure ad blocks and pages are built properly.
  • Checks for copy, Sale Price, Reg. Price, Price Range, Zone Price, Price Offer, Product Images, Coupon, Limits, FSI, Extra Bucks, with Card, legal copy, disclaimers, expiration dates etc.
  • Recaps weekly ad changes to Manager of Promotional Planning.
  • Communicates all Circular requirements to the team responsible for developing the Ad (Designer and MacOperator).
  • Brings clarity to questions asked by our Print, Pre-media, Translation and .Com vendor weekly.
  • Routes proofs and prepares PDF’s weekly.
