Aquent's technology client is seeking a Reception & Event Coordinator for a 1-year onsite contract in Redwood Shores.

Qualifications:
• Solid background in excellent customer service within a professional environment
• Excellent professional communication skills, organizational and multi-tasking abilities
• Responsible for day-to-day floor operations and flow
• Manage critical deadlines in a fast-paced, time critical environment
• Ability & flexibility to assist with last minute requests and changes
• Responsible for concierge services for both Customers and Sales teams
• Solid working knowledge of Windows OS , MS Office Suite (Word, Excel, Powerpoint)
• Display ability to provide basic description of demos and hardware displayed on the CVC floor
• Provides both administrative support to CVC management and briefing managers
• Basic knowledge of audio-visual, video conferencing, teleconferencing equipment

• Friendly and welcoming, always presents a ‘my pleasure’ attitude
• Maintain high level of customer service and professionalism
• Punctuality a must, desk opening staff is heavily relied upon
• Maintain confidentiality of meetings and materials
• Communicate effectively with Executive Office personnel, Executive Assistants and CVC staff
• Proactively seek ways to enhance quality of the CVC floor operations
• Follow appropriate dress code set forth by management
• Prioritize and manage multiple tasks
• Take initiative to seek educational training for professional & personal development

Primary Responsibility:
• Monitor all activity on CVC main floor while providing excellent customer service for Customers, Sales Teams and staff
• Provides front line support for Customer Visits
• Responsible for day-to-day front desk operations and floor management
• Keeps CVC floors secure and monitors restricted access
• Responsible for opening day procedures
• Greet Customers upon arrival onto CVC floor
• Assist with Customer and Presenter questions throughout the day – properly fielding when necessary
• Assist Sales Teams on day-of Customer Visits – properly fielding when appropriate
• Assist with Customer concierge requirements
• Communicate critical information to sales reps, presenters, catering and Customer Visit Center staff
• Gain familiarity with presenters arriving on the floor and learn areas of expertise
• Follow Executive Office requirements when senior executives are present (catering, climate control etc.)
• Be aware of cultural aspects of visits for proper greeting and CVC set-ups
• Monitor agendas to ensure presenters arrive on time and/or advise Briefing Managers if running behind schedule
• Assist briefing managers with briefing preparation for next day visits (folders and gifts)
• Prepare agendas, welcome signage and rooms for next day’s visits with strong attention to detail
• Serve as catering, transportation, security and technical support liaison for day-of activity
• Respond promptly to general phone calls
