Publicity Coordinator

We're seeking a Publicity Coordinator for a contract position beginning in March. This role will support the SVP of Global Publicity for one of our top entertainment clients in Burbank. Specific tasks include:

Reporting
- Compile comprehensive weekly update including key dates, upcoming events and debuts, and other pertinent info
- Chase campaign highlight reels and recaps for SVP to share with filmmakers and execs
- Keep Key PR Dates document with topline dates for executives
- Update Campaign Value chart tracking media value/impressions on each film campaign
- Pull together other reports as requested

Communications with Executives, Talent Reps & Filmmakers
- Compile campaign highlights/key coverage as needed (typically 1-2 weeks prior to U.S. release)
- Craft notes for execs and filmmakers with critics grid reviews/quotes around U.S. release
- Assist SVP in organizing table lists for awards ceremonies, making sure proper info is shared with all relevant teams, talent reps, filmmakers, and execs
- Inform execs of upcoming events and work with their offices to coordinate attendance, create schedules, and as needed manage jet and transportation details
- Work with photo leads on Premiere shot lists, reviewing with SVP and circulating to execs
- Craft introductory email to talent reps at the beginning of each film campaign
- Craft notes to talent reps prior to key events including international tours and junkets, and on any urgent needs (talent commitments, approvals, etc.)

International Tours & Market Communication [on an as-needed basis]
- Help craft international tour schedule for talent and filmmakers working with SVP, markets, film team lead and film team int'l publicist
- Support budget creation and management (to a limited extent), as well as assist with communication/negotiation regarding budget and work with markets to find ways to cut costs as needed
- Reach out to markets to gather information as needed (e.g. int'l Hilton properties for talent interest, etc.)
- Assist with creating and gathering int'l planning documents, working with film team int'l publicists

Global Publicity Department Liaison
- Maintain strong working relationship with SVP's direct reports and overall department
- Act as main point-of-contact for issues or concerns, prioritizing and flagging to SVP as appropriate
- Manage new initiatives on behalf of the department as needed (e.g. Global Security Ops meeting and communication, E-Studio Network development of online TA system, BTA-CTA credit card shift with DWSS Procurement, Animation Filmmaker Travel Policy)
- Work with SVP to craft agenda for Global PR and Direct Reports meetings, set up and sit in meetings
- Keep overall Global Publicity Meeting calendar and share updates with department, tracking major recurring meetings to avoid overlap within department and with larger Marketing group
