Proposal Specialist

We are seeking a Proposal Specialist for a 2-3 month temporary role for one of our valued clients.

The Proposal Specialist is responsible for all administrative aspects of proposal development—ensuring security and integrity of all proposal documentation, coordinating internal flow and review of all proposal inputs, and directing production of final master proposal.
Format in MS Word proposal documents (technical sections, resumes, etc.) within standard proposal template
Monitor customer websites for addendums, clarifications, etc.
Create Proposal Dummy book and maintain latest versions in book. This is the go-by for production
Manage the production of draft and final proposal
Coordinate graphic production with graphic artist and maintain graphic log
Create graphic tickets and check all graphics for errors/spelling
Establish the electronic file structure, archive, and back-up capability and procedures for all proposal materials on the team’s server system
Establish and document electronic proposal file access and tracking protocols for ensuring the security and integrity of all proposal documentation
Assist the Proposal Manager in developing the review package and in recording, disseminating, and tracking suggested proposal changes
Direct the production, reproduction, and binding/packaging of proposal, and all hard/soft copies (PDF/electronic)
Maintain proposal room – library of proposals, supplies, etc.
Other reasonable and normal duties associated with the Proposal Coordinator position, as directed by the Proposal Manager
Manage proposal supplies
Required Skills
Heavy experience with desktop publishing, production, and quality control for proposals
A minimum of 5 years of professional experience, preferably in a the Oil/Gas or Energy industries
Ability to successfully execute many complex tasks simultaneously, maintain professional attitude, and work as a team member, as well as independently
Ability to work under tight time frames, including nights and weekends if necessary
Excellent verbal communication and interpersonal skills to interact with all levels
Strong attention to detail
Good analytical and problem solving skills
Strong proficiency in Microsoft suite
Self-starter that is able to work under minimal supervision

Strong time management
