Project Specialist II

We are hiring a Project Specialist with a global coffee retailer who has 3-5 years experience who has required skills in: 1. Being a proactive problems solver  2. Experience working in an agency or working w/ a creative team  3. Attention to detail and origination 4. Excel Technical skills to coordinate small projects or segments and phases of moderately complex projects for a business unit, department or functional area. May provide some limited functional support for the department, but generally handles only project responsibilities. 

What does a typical work day entail? What are the daily tasks/responsibilities/deliverables? 
Supporting the lead Producer in day to day fulfillment of digital and printed marketing materials for Retail stores. Working directly with creative teams, print production and legal teams to ensure content accuracy. Manages detailed timelines and project tracker to ensure work is hitting critical deadlines. 

• Manage multiple work streams and client groups, prioritizing as needed and ensuring that projects meet timelines and deliver results. 
• Maintain, adjust and update project plans as needed. 
• Communicate and ensure resolution of all issues. Escalate issues to direct manager as necessary. 
• Educate clients on working relationship with Global Creative Studio, explaining roles and responsibilities, process, and budgeting. 
• Manage moderately complex project work for the Global Creative Studio. Serves as lead for direct manager and primary contact for assigned team and clients. 
• Partner with assigned creative team and production team to ensure programs and projects deliver against goals, objectives and meet/exceed  Global Creative Studio standards. 
• Understand the essential dynamics, strategies and drivers of assigned client businesses in order to provide value-add and strategic counsel on campaign and program strategy. 
• Communicate processes for improving cross-functional communication, work integration and teamwork between partners from cross-functional departments. 
• Ensure clients submit clear strategic creative briefs to efficiently initiate work in the Global Creative Group. 
• Mentor other producers in program and project management. 
• Challenge and inspire partners to achieve business results. 
• Serve as a Brand Steward across the organizations with external business partners. 

What are the must/nice to have skills you are looking for?

• Project Management experience (3-5+ years) 
• Account Management and/or Project Management in a design/advertising agency preferred (3-5+ years) 
• Relationship management with clients/marketing departments (3+ years) 
• Ability to apply multidisciplinary business principles and practices in cross-functional projects and activities 
• Ability to communicate clearly and concisely, both verbal and written 
• Ability to manage and influence others 
• Ability to balance multiple priorities and meet deadlines 
• Ability to work both independently and as part of a team 
• Strong analytical skills 
• Creative problem-solving skills 
• Knowledge of marketing program development and implementation 
• Knowledge of marketing communications or integrated marketing 

Ability to prioritize multiple responsibilities. 
Work well with different personalities. 
Process and detail-oriented. 
Ability to navigate complex system of approvals. 
Experience working in the advertising and/or retail marketing sector.
