4 MOTH ROLE STARTING BY AUGUST 8th!!!-
Maintain and update global publishing creative budget grid in Excel
Share updates to budget grid with Editorial Director and Digital Publishing Manager
regularly and take direction from them regarding updates.
Maintain cost estimates in C&P to match the creative budget grid
- Provide feedback and approvals for publishing invoices that route from Shared Services via Markview system in a timely manner
Ensure that the invoice charges do not exceed the approved budget in each case
before providing approval in Markview
Work with Shared Services to set up new vendors for publishing and set them up yearly
Strong customer service skills desired to communicate with vendors to help instruct
them how to submit invoices, when to expect payment (with information from Shared Services), and to maintain our strong relationships with them
Provide timely feedback for monthly, quarterly and yearly pre-bills that come from Shared Services to advise when projects/jobs should be closed in C&P (Clients & Profits system)
Will compile outstanding invoices for the year in December to report accruals to Finance;
Editorial Director will report this information to Finance
Develop and maintain product development schedules for El Segundo-based publishing print creative team
Administer weekly production meetings to ensure projects are running on schedule
and make deadlines; Editorial Director will lead the meeting
Work with digital asset coordinator to update the publishing asset calendar at regular
intervals so that Publishing Director can send it out to our internal global publishing
distribution list
Work with digital asset coordinator to update the abridged asset log for the Publishing Director to distribute it with regular, monthly DropZone Updates to our internal global publishing distribution list
Position will report to Editorial Director
Previous experience in Shared Services preferred; previous experience in an accounting system like Oracle or Clients & Profits desired
Previous experience as a production associate, project manager and/or managing editor in creative operations preferred
Strong customer service skills desired to communicate effectively with internal and external
partners, including creative vendors
Must be able to train with employee going on leave, beginning
