Our client, a leader in the financial services industry, is looking for a Project Coordinator to assist with the coordination of Regulation and FINRA Filing. This is an onsite 12month contract with benefits.


The Project coordinator works under the direct supervision of more senior team members. Coordinates the flow of projects through Marketing Communications by partnering with campaign management, project management creative teams, and multiple marketing communications channel owners.

-Monitors the completion of tasks in each assigned project schedule. Initiates project schedules and tasks within the production database. Leads periodic meetings to monitor project status and communicate scheduling challenges. Maintains the team’s job tracking in order to keep the team aware of individual jobs, progress, and the overall workload. Provides daily status updates to creative team(s), as necessary. Ensures awareness of delivery dates among all project participants and external vendors; escalates task or timing issues to manager, as necessary. Inputs and maintains accurate historical records related to projects within the production and invoicing systems. This may include data with respect to a project’s regulatory filings or tracking status.

-Coordinates the production process. Prepares proof circulations to senior management and Legal for review. Reviews and routes project proofs to ensure that documents are accurate and comply with established specifications and standards. Routes documents to the appropriate channel for publishing. Coordinates with Legal for Financial Industry Regulatory Authority filings and internally for dealer filings. Ensures files are accurate in the appropriate software application when completing electronic projects.

-Processes activities relating to the electronic presentation tool (e-Catalog). Prepares presentations to be migrated to e-Catalog by working with the Writers, Designers, and Copy Editors to ensure slides are prepared correctly and designated to the correct e-Catalog. Coordinates the quarterly updating within e-Catalog by working with the Copy Editor and Designer.
