Project Coordinator

As a Project Coordinator, you will be a member of the Global Marketing Communications team reporting to the Sr. Marketing Manager. You will offer administrative and project management assistance help to ensure a smooth flow of activities through the department. The Project Administrator must ensure project workflows are on track to meet deadlines, communicate status updates, and any project challenges. This entry-level position will support the Marcom Team. The candidate should be a process champion, detail oriented, a good communicator, quality driven and able to meet deadlines. Must be able to work in a fast-paced work environment, have the ability to adapt to shifting priorities, and are comfortable working within tight deadlines for a high volume of projects with different owners.


Primary Responsibilities:
Review all incoming activity requests, answer questions, and assign workflows
Maintain digital asset library, fulfill image requests and print on demand program
Manage on line continuing education program credits
Scheduling-webinars, etc.
Assist Marketing Trainer fulfill tasks
Organize filing system for team suppliers/vendors paperwork
Provide backup for marcom project leads.
Maintain team processes and standards library at the direction of managers
Implement improvements to workflows in project management system
Input team activities/projects to accurately track time
Assist in managing workflows timelines, tasks, and provide timely updates
Generate reports as requested

Skills Required:
-Review concurrent projects.
-At the direction of supervisor, apply best practices for effective and efficient project coordination and reporting
-Ability to multi-task, work well under pressure, and prioritize
-Generate project data using standard reporting tools
-Solid attention to detail and problem solving capabilities
-Communicate clearly, promptly, and appropriately with Project Owners and key stakeholders about projects and processes
-Ability to meet aggressive deadlines and provide quick turnaround in a rapid growth/rapid change environment
-Solid organization and communication skills (oral, written)
-Working knowledge of Microsoft Office (Word, Excel, and PowerPoint)
-Experience with PM tools such as Basecamp, Liquid Planner and/or MS Project preferred
-Some experience with Adobe design software a plus

Qualifications and Other Requirements:

BS or BA in Business Administration, Communications, Marketing, or related field
1-3 years project management experience managing simultaneous projects preferred
Data entry, administrative, reporting, and computer skills
Traffic experience in an agency environment a plus
Previous experience within a sales, marketing, advertising or creative services agency a plus
Recent college graduates are encouraged to apply
