Project Coordinator

MUST HAVE Agency experience. Our VERY BUSY client needs an experienced Project Coordinator for a month contract, onsite in La Jolla for 40 hours/week. Potential for a longer term position.

The Project Coordinator will oversee the efficient flow of work from account services to creative, clinical and editorial departments. The Traffic Coordinator is responsible for creating schedules, maintaining job files, tracking and monitoring progress, and routing projects. The Traffic Coordinator will organize and run weekly status meetings for all internal client teams and enter all creative service requests into a status management system and may oversee traffic coordinators and lend experience to guide less experienced employees. Excellent organizational skills, ability to multi-task, eye for detail.

• Maintains and/or exceeds minimum billable utilization percentages for position level
• Works within and manages to assigned and budgeted labor hours by job and position level, to ensure minimum standards of job profitability.
• Manages scope change process for all assigned jobs
• Ensure that team members maintain and/or exceed minimum billable
• Manages workflow for off site staff, is key contact for creative and editorial
• Guiding and tracking projects through the pipeline
• Conducts weekly status meetings involving personnel from all relevant departments
• Troubleshooting and putting out fires
• Preparing daily status/hot sheets reports
• Acts as a liaison between client services, creative services, editorial, and production departments.
• Creates and maintain project timelines
• Oversees integration of all project elements
• Provides quality management based on internal/external client expectations
• Initiates & reviews work orders with key internal groups
• Responsible for status information regarding project production pieces and deliverables
• Manages communication with key, internal personnel regarding initial and on-going information and status
• Continually monitors event data, milestones & deliverables via Project Management Excel spreadsheet and email routing
• Prioritizes workflow to internal departments such as creative, editorial, and clinical

Position Requirements:

Education or Equivalent:
• 4-year college degree or related work experience
• 2-5 years experience in some type of traffic or project coordination in an agency/marketing environment is required.

Knowledge/Skills Requirements:
• Ability to oversee and manage staff, departments and projects
• Strong client service, communication, interpersonal, organizational, decision-making and problem-solving skills
• Excellent oral and written communication skills, and ability to manage people effectively
• Excellent organization, multi tasking and prioritization skills in a fast pace environment
• Ability to take charge and push projects through all departments
• Be assertive, yet flexible, and especially exceptional at adjusting and meeting multiple demands
• Works with confidential and sensitive corporate, client and employee information and must conduct him or herself accordingly.
• Demonstrates a sense of urgency to obtain results
• Responds well under pressure,
