Project Coordinator

We are hiring a Project Coordinator for a global fortune 500 e-commerce client. The Operations Team needs an individual to own the end-to-end process of ensuring out team’s compliance to the Spending & Transaction Policy for AIM budget spend against both a Creative funded projects and a  Campaign funded production work. As a critical team member, you will be responsible for processing all requests for engagements with external vendors. This begins with ensuring legal has the details for drafting, to initiating the proper spend approvals with Finance and the business, to requesting the appropriate purchase orders, and ends with submitting any necessary upfront invoices related to payment requirements as negotiated in the contract. You will partner with legal and finance to find successful resolutions that meet the needs of the business and remain compliant with the spend policies. 

As the ideal candidate, you can balance the urgent need from the campaign management team and the existing guidelines set forth in the Spending and Transaction policy to see compliance while meeting the needs of the business. You aren’t afraid to prioritize, make decisions and communicate with authority. As a key member of the Operations team, your attention to detail and efficient, organized work style will continually raise the bar in quality, efficiency and workflow. 

Your responsibilities will include: 
• Manage intake and resolution of requests to legal ticketing system 
• Route agreements through tax review as required 
• Initiate Payee Central invitations and communication with new vendors during on-boarding process 
• On-boarding of new agencies and companies under Master Service Agreements 
• Ensure all legal agreements and purchase orders are in place prior to projects beginning 
• Work with Campaign and Project Management team to train on process and policy 
• Initiate and track spend approval requests 
• Request purchase order funds through appropriate funding cost centers 
• Produce weekly volume reports for management 
• Review PO spend and balances for potential replenishment

• Experience with writing and proof reading documentation 
• Excellent administration and organizational skills 
• Experience with legal agreements and tax requirements

• Strong interest in Finance, Legal, and/or Business

• Ability to work in a highly ambiguous and fast paced environment 
• Experience working with Oracle Financial Systems and/or SharePoint 
• Experience with writing and proof reading documentation
