Aquent's Fortune500 client in Richfield, MN is looking for a Project Coordinator for a 6-month contract (40/hrs, 5 days, onsite) with potential to extend beyond.

Project Description:
We are looking for a highly-motivated, efficient, and process-driven analyst to manage the daily functions of a capability within Services IT. This resource will be responsible for assisting in backlog, resource, and financial management, and must be able to adapt to a rapidly changing environment. This position requires someone who is analytical, resourceful, and able to learn quickly.

Responsibilities/Deliverables:
- Forecasting Process Management
- Ensure that all forecasts for active projects have been entered into the forecast reporting system
- Maintain list of projects that require closure in forecast reporting system
- Develop and produce financial reporting on a monthly basis to include project charges from multiple different systems
- Manage financial/forecasting calendar on SharePoint site
- Capacity/Demand Management Process
- Manage portfolio process for managing time allocation and work for teams using Excel
- Communicate with multiple capability and project teams to ensure that all teams are aware of expected costs on a weekly basis
- Portfolio Wiki Maintenance
- Document processes and maintain portfolio wiki site
- Manage Wiki group for portfolio; create new User IDs for resources and deactivate IDs
- Provide guidance to project teams on Wiki/JIRA standards
- Portfolio Project Management
- Manage and maintain list of active projects that require forecasting on a monthly basis
- Assist PCMs with creating/adjusting project budgets
- Portfolio Communication Meetings
- Create agenda for meetings
- Update invite with agendas
- Create presentation/materials for meetings
- Weekly Status Meeting (Weekly)
- Send reminder emails on Monday & Tuesday each week
- Compiling deck on Wednesday morning
- Taking notes during Wednesday meeting
- Emailing notes after meeting
- Demand Governance
- Create agenda for meeting
- Create presentation/materials for meeting
- Follow up on Approved for Estimate/Estimate Ready for Review
- Book meeting rooms out/Update Meeting invite with Dial-In, Room, Action Items and Agenda
- Maintain Intake SharePoint Site daily/weekly
- Make sure Estimates are uploaded
- Executive Review Meeting Prep
- Assist Portfolio Manager with creating monthly and quarterly executive review decks
- Portfolio Resource Onboarding and Off boarding Manage portfolio process for on-boarding and off-boarding resources
- Manage Resource List
- Manage seating charts/requests for space changes
- Grant access to portfolio tools, including MS SharePoint and JIRA/Wiki
- Maintain Outlook distribution list
- Invoice and PO Management
- Submitting invoices and communicating invoice costs to project teams
- Maintaining communication regarding invoices with vendor partners
- Use Oracle to check the status of invoices
- Setting up PO's using Oracle
- Creating receipts and tracking cost against PO's using Oracle
- Tracking distributions against PO's
- MS Project/PWA/PPM
- Troubleshoot timesheet issues
- Ensure portfolio is meeting requirements for PMO compliance
