Project Coordinator - Corporate Marketing

Our top financial services client is in need of a Project Coordinator for a long term 8month+ freelance contract in San Francisco. This position is a 40 hour/ week onsite role.

They are seeking a seasoned Project Coordinator to provide project support for their corporate marketing projects. Main responsibilities include maintaining group project lists, reports, calendars, meeting minutes and assist in the execution of global and cross-functional team meetings.

Major Job Duties and Requirements:
Project support: scheduling, taking meeting notes, executing meeting set ups.
Analyze and report actual performance vs. business case goals.
Track invoices, contracts and upload data into marketing tracking tool.
Create and maintain documents for all projects including contracts, proposals and change orders.

Skills:
Highly data literate with demonstrated problem solving and analytical abilities.
Experience establishing and communicating business and marketing objectives to internal and external teams to engender support and enthusiasm.
Clear, concise and compelling communication (verbal and written) skills.
Adaptable work styles with a broad variety of people from different cultures and disciplines, both internally and externally.
Flexible and able to succeed in a fast-paced, rapidly changing high-pressure environment.
Self-motivated and able to operate with little direction.
Strong personal and professional character and integrity.

Typical types of corporate marketing projects:

Direct Mail
Proofing letters for accuracy and grammar.
Checking data, such as correct address and phone number.
Calling branches (400 of them) to ensure our branch phone number data base is correct.
Keeping track of project status (e.g. who owes us feedback/what information are we missing.

Merchandising
Main contact for special signage project.
Coordinate with Vendor and Facilities group to ensure that any patchwork/painting/repair resulting from removal of signage is completed.
Work with Branch Managers to let them know when the repair will be completed.
Update information for each branch to ensure accuracy of photos, # and types of merchandise display units, address and phone numbers.

Corporate Sponsorships
Identify vendors and resources to assign to or complete a project.
Submit all expressions of a project through governing departments such as Compliance, Legal, Brand etc.
Determine all reporting needs for a project and creating necessary reports on-demand and quarterly.
Create and maintain decision documents for all projects as well as execute prep decks for events—including but not limited to contracts, proposals, and change orders.
Work under supervision but be resourceful when operating in a centralized Marketing Organization with internal and external partners and influencers that span the chain of the workforce.
Create, and maintain a budget management document(s) for each project and be prepared to provide current status of spend on demand and to support predictive meetings.
Support group with ad-hoc event planning, staffing and post event activities
Travel would be @ 10-12 times per year.

Education/Experience:
Bachelor's degree.
Experience in the marketing / branding field or in a related area.
Financial Services industry experience or highly matrix’d organization preferred.
