Program Marketing Manager

Our solar energy client is looking for an energetic Program Manager to join their team! This role starts on a 9 month contract, but has the possibility of going permanent after that. Job Description and Duties are below:

Management of Ongoing Work
• Manage flow of work into and through the Creative Group
• Maintain schedule of projects, report weekly on status
• Assign resources for projects (with Creative team)
• Follow up with resource(s) to confirm that work is being done, and due dates are met
• Trouble shoot if there are problems with getting the work done
• Distribute drafts to clients for review
• Review final work before it goes to client

Project Management
• Manage individual projects as assigned
• Schedule weekly/regular team meeting updates
• Communicate status of project on regular basis
• Keep list of action items and follow up to ensure work is done
• Maintain project budget and timeline
• Manage outside vendors and services
• Receive estimates for work from vendors, review and forward to client

Creative Group - Weekly List of Projects
• Maintain ongoing spreadsheet of current work
• Review all projects with Creative Group at the beginning of the week
• Distribute spreadsheet weekly to team, CMO, and International team
• Add new work as it comes in (throughout the week), update spreadsheet as needed
• Review Project Request Forms be sure they are complete and include all needed
resource materials.
• List each job by name, client, resource (who is doing the work) and due date
• Update due dates on spreadsheet as schedule changes
• ALL WORK MUST BE SUBMITTED VIA A PROJECT REQUEST FORM (PRF)
o Forms are filled out by marketing manager(s), or others requesting work
o PRF gives details of work to be done and target audience to reach
o If PRF is not clear or complete, call or email to get more information to complete form
o Confirm due date, to be sure it is doable, and determine accurate due date with client
o Send PRF with resource material to graphic designer or other resource(s)

Vendors
• Manage assignment, flow of work, and communications with vendors
• Maintain database of current and past vendors
• Enter new vendors into Oracle supplier database
• Manage vendor relationships
• Receive estimates of work (SOW), check for accuracy and pass along to client or
Creative Director to open POs
• When POs are issued pass along PO number to vendor to include on invoice
• Follow up on payment of invoices to vendors
