Program Marketing Associate (#TBD)

Aquent’s San Francisco energy client is immediately looking for a Program Marketing Associate for a year-long contract. This role entails providing day-to-day support for the development of outreach and education materials to help customers and their vendors save energy, money and the environment. The candidate will also be responsible for managing project finances and overall monitoring of the segment budget.

The ideal candidate will be interested in a long-term commitment and looking for growth in the field of marketing, and have an account or client services background, preferably in an agency environment. Experience with finances, project scheduling, and working with marketing from the ground up is required, in addition to the ability to provide direction to agencies and internal teams, and to convert customer insight into marketing materials.


Project Management
• Coordinate with management and internal/external agency partners to create, manage and communicate project timelines, ensuring projects are completed and delivered on-time. Deliverables may include:
- Advertising and direct-to-customer marketing pieces
- Sales and Services presentations and turn-key communications
- Program collateral
- Co-branded assets
• Coordinate the review and approval of marketing deliverables.
• Ensure all finished materials meet project objectives and are produced without errors, consistent with brand guidelines, communicated to internal parties and inventoried.

Event Support
• Assist in the execution of events, such as trade/industry-sponsored events, conferences, employee training, and internal/external meetings—attendance may be required.
• Manage event-related materials.

Coordination of Web Updates
• Work with web leads to implement changes to web site.
• Manage Trade Pro Directory updates and troubleshooting.
• Ensure external collateral inventory web site is up-to-date and that inventory is re-ordered as needed.

Budget and Project Finances
• Work with the client’s Business Finance and external parties to set up, monitor and report on the status of project finances including Shopping Carts, POs, and accruals.
• Update budget spreadsheets with current burn rate, progress against budget, and anticipated costs.
• Ensure invoices/payments are processed in a timely manner.
• Ensure Program Marketing Managers have visibility into potential cost overages/underages.
• Work with external vendors to ensure costs come in on budget, and create mitigation plan to avoid overages.

• Manage project status report and attend regular team meetings to align resources on each week’s activities and priorities and to resolve outstanding issues. Issue recaps and next steps.
- Obtain information for internal weekly Headline News submissions.
- Assist with ad hoc reporting as required.

Other Special Projects as Required

• Minimum of a college degree
• 1-3 years’ project management experience in either a B2B or B2C environment overseeing the development and delivery of marketing materials or working for an ad agency
• Experience working in environmental or energy-related field a plus
• Proficient in Microsoft Office Suite and knowledgeable about Adobe productivity software
